Document Control Specialist I
supports project document control functions for construction projects and other ESE Document Control activities as needed.
Primary Responsibilities
Collaborate with engineering personnel to ensure compliance with review and record requirements outlined in procedures and job aids.
Process engineering and project records, including drawings, manuals, transmittals, correspondence, and Engineering Change Notices (ECNs).
Perform routine tasks and provide support during design, construction, and project closeout phases.
Maintain and update electronic databases for tracking, transmitting, and distributing documents and vendor submittals.
Prepare reports for daily, weekly, and monthly operating reviews.
Request controlled document numbers (e.g., wiring diagrams, P\&IDs, circuits, raceways, valves) per established numbering conventions.
Audit records for accuracy and completeness; identify issues and implement corrective actions.
Assist in updating document management procedures.
Provide hard copy documents for construction and deliver critical documents to Plant Document Control at project completion.
Education
High School Diploma or equivalent.
Skills & Competencies
Excellent communication and customer service skills.
Ability to multitask and remain organized in a fast‑paced environment.
Strong analytical skills and attention to detail.
Leadership, teamwork, and ability to work independently on complex projects.
Proficiency in systems/software such as SAP and document control tools (e.g., ProjectWise, Primavera Unifier, CM14, Prolog).
Ability to manage project milestones and prioritize tasks effectively.
Comfortable interacting with internal and external stakeholders.
Knowledge of Adobe Pro, plotter/scanner operations, and safe work practices.
Physical Requirements
May involve carrying large rolled prints to various plant locations.
Maintain clean and orderly work areas.
Experience
2–4 years in records management or similar roles.
Preferred:
Clerical, administrative, or document control experience (especially construction or engineering).
Database management experience.
Coursework or associate degree in Information Science, Data Processing, or related fields.
Utility, engineering, or construction document control experience.
