The Constituent Affairs Division (CAD) is the OAG’s interface with the public. Incoming contacts from the public—by phone, mail, or email—are received by CAD and handled locally or routed to the appropriate agency. The Customer Service Rep will respond to the main OAG switchboard, track mail, route agency correspondence, and maintain filing systems. The role involves assisting with clerical tasks, preparing reports, and performing related duties as needed.

Essential Position Functions

Respond to inquiries on the main OAG switchboard, providing information and referrals; record required information.

Assist with clerical tasks, reports, and other duties as assigned.

Maintain internal tracking and filing systems.

Read and route agency correspondence; prepare outgoing mail and courier requests.

Greet visitors, respond to inquiries, and direct them to appropriate staff.

Perform related work as assigned and maintain relevant knowledge.

Attend work regularly in compliance with the agreed-upon schedule.

Ensure security and confidentiality of sensitive and protected information.

Comply with all agency policies and procedures, including ethics and integrity.

Qualifications Minimum Qualifications

Education: High school diploma or equivalent.

Experience: One year of full‑time administrative support or customer service, or equivalent college credit.

Computer skills for word processing, data entry, and retrieval.

Ability to multitask, prioritize, and meet deadlines.

Effective oral and written communication skills.

Sound judgment and decision‑making ability.

Ability to handle stressful situations and respond positively to feedback.

Cooperative teamwork in a professional office environment.

Excellent customer‑service orientation.

In‑person work at the assigned OAG location, performing all tasks within that workspace and collaborating with coworkers as required.

Availability for business‑related travel (including overnight) up to 5%.

Physical ability to lift and relocate up to 30 lbs.

Work 8:00 a.m. – 5:00 p.m., Monday through Friday, and be willing to work more than 40 hours as needed.

Preferred Qualifications

Education: Bachelor’s degree from an accredited college or university.

Experience: Multi‑line switchboard and clerical tasks.

Knowledge: State government operations.

Skills: Data entry, word processing, mail merge, and internet usage.

Language: Proficiency in English and Spanish.

Typing speed of 35 words per minute.
