Wayfinder Newport is a full-service, design-driven boutique hotel that blends coastal charm with relaxed, welcoming hospitality. We're looking for a Sales Administrator to join our vibrant Sales teamsupporting revenue growth, elevating guest experiences, and ensuring a smooth process from initial inquiry through post-event follow-up. Position Overview: The Sales Administrator is a key role in supporting the Director of Sales & Marketing and Sales Manager by managing administrative tasks, facilitating client communications, and contributing to the planning and execution of group events and meetings. This role is ideal for a detail-oriented, service-focused individual with strong organizational skills, excellent communication abilities, and a collaborative, creative mindset. Key Responsibilities: Sales & Administrative Support: Provide administrative support to the Director of Sales & Marketing and sales managers Manage and maintain group sales systems, including Event Temple: input leads, generate contracts, create proposals, maintain trace activities Coordinate group communications including BEOs, resumes, deposit schedules, rooming lists, booking codes and link Act as liaison between clients and internal teams: Front Office, F&B, Events Respond to inquiries and distribute leads as needed to appropriate team members Assist with pre-event planning and post-event follow-up, ensuring service excellence for repeat business Support site visits, tours, and client gifting Track leads, room blocks, and deadlines Participate in weekly team meetings Event Coordination: Serve as a liaison between clients and internal departments (F&B, Operations, Front Office) Ensure all event details are properly communicated and executed Help manage post-event follow-up, feedback collection, and billing coordination Client Communication: Respond to inbound event inquiries and distribute leads appropriately Confirm event details and timelines with planners and clients Maintain professional, timely, and enthusiastic communication with all stakeholders Team Support: Assist with sales and revenue reporting, including pace, pickup, and forecasting Participate in team meetings to support cross-department coordination Help execute client appreciation and promotional activations Qualifications: 2+ years of experience in hotel sales and catering/events, with a proven track record of success. Bachelor's degree in Business, Hospitality, or a related field preferred. Strong attention to detail and organizational skills Excellent communication skills (written and verbal) Proficiency in Microsoft Office Suite (Excel, Word, Outlook) Familiarity with sales systems and CRM, such as Event Temple and Duetto, is a plus A self-starter who can multitask and adapt in a fast-paced environment Passion for hospitality, teamwork, and delivering unforgettable guest experiences.
