We’re on the hunt for a proactive, detail-obsessed, and people-savvy Coordinator of Events & Membership to support our national events and vibrant member community. What You'll Do: Customer Service: Serve as the primary point of contact for inquiries and deliver exceptional customer service to event registrants, sponsors, speakers, members and prospective members. Maintain a high level of professionalism and customer support and promptly and efficiently respond to all email, phone and interpersonal inquiries Event and Awards Support: Build and administer registration for all AAPC events including webinars, Regional Conferences, annual Pollie Conference and chapter events Analyze registrant data and create and distribute weekly and post-event reports Assist in the development, testing and implementation of all registration websites Manage production and collation of meeting badges and registration materials, including inventory management of all meeting supplies and order fulfillment Staff the AAPC registration booth at on-site events as required Coordinate speaker management by maintaining detailed speaker grids, issuing confirmation and registration communications, publishing speaker information on event platforms, and gathering professional photos and biographies Manage and update online event agendas by ensuring timely posting of current session content and speaker details. Administer and support Trailblazer, 40 Under 40 and Campaign Excellence awards programs, including: building and maintenance of awards websites and supplemental materials as required, category development, recruitment of entries and judges, entrant support, entry coordination and review, judging, scoring, oversight of trophy fulfillment and sales, timeline maintenance and awards program marketing Provide support to awards program entrants with a high level of customer service and prompt response Coordinate materials and logistics as appropriate for award ceremonies Create and distribute weekly and post-award program reports Administrative: Ensure data integrity across membership database, email platform, registration system(s) and awards programs by updating records/profiles and maintaining clean, up-to-date records Manage new subscriptions to AAPC’s communications, email bounce backs and unsubscribed records and update the database accordingly. Ensure membership renewal processing, renewal campaigns and onboarding program Produce recurring membership reports Maintain member and non-member record accuracy in membership database Other duties as assigned. What You Bring: Bachelor’s Degree with related experience in nonprofits, association management, customer service, or events. Outstanding attention to detail and a passion for logistics. Strong multitasking and time management skills – you keep cool when juggling multiple projects. Tech-savvy and ready to learn: we use YourMembership, Swoogo, OpenWater, and Informz. Proficiency in Microsoft Office and Google Suite. Excellent written and verbal communication skills. Positive, can-do attitude with a service mindset — you love helping others succeed. Comfortable working remotely with some availability for in-person meetings in the DC-Metro area. Willingness to travel to AAPC events and occasionally work off-hours. Ready to Join Us?
