Mintz The Matter Mobility Information Governance Manager (“Matter Mobility Manager”) is a role that combines operational leadership of the Firm’s Matter Mobility Program with legal analysis and project management. This position is responsible for overseeing matter mobility initiatives while conducting Information Governance legal research to ensure compliance with evolving regulatory, ethical, and professional standards. The role also advises on risk mitigation strategies and policy development, making it ideal for a JD with strong legal research skills, a deep understanding of information governance, and a passion for leveraging technology to drive innovation and compliance at Mintz. The Matter Mobility Manager leads a team responsible for executing the operational components of the Matter Mobility Program, including client file transfers into and out of the firm, legal holds, return of client files, destruction orders, and data management related to attorney transitions. This role drives continuous process improvement, ensures accurate documentation of workflows, and partners with cross-functional teams to maintain high standards of execution and compliance. The Matter Mobility Manager is expected to step into day-to-day operations, when needed, and bring a proactive, analytical approach to optimizing systems and procedures. Collaboration with attorneys, practice group leaders, and administrative departments—including Information Governance, IT, Infosec, Privacy, and Intake—is essential to the success of this role. The Matter Mobility Manager reports to the Director of Information Governance. Responsibilities: Lead a team responsible for executing the operational components of the Matter Mobility Program, including client file transfers into and out of the firm, legal holds, return of client files, destruction orders, and data management related to attorney transitions. Manage the day-to-day team operations by setting clear objectives, fostering collaboration, providing feedback, and resolving issues to ensure consistent performance and alignment with strategic goals. Administer and continuously improve legal hold processes, including strategy development, execution, and documentation. Conduct legal research and analysis to support the development and refinement of Information Governance policies and procedures, and compliance with regulatory and ethical standards. Design and implement technology solutions that enhance the efficiency, accuracy, and defensibility of Matter Mobility workflows, including automation, integrations, and system configurations. Ensure secure handling of sensitive, confidential, and privileged information in accordance with firm policies and applicable legal standards. Perform data analysis to support compliance, risk mitigation, and operational decision-making. Conduct document reviews, as necessary. Maintain and monitor quality control metrics, conduct audits, and assess compliance with Matter Mobility procedures and systems. Provide training and oversight across office locations to promote consistency in Matter Mobility practices and ensure adherence to firm standards. Collaborate with IT, Infosec, Privacy, and other departments to support technology goals, troubleshoot issues, and develop scalable solutions. Report to senior leadership on program performance, risks, and opportunities for innovation and improvement. Take on additional responsibilities, as needed, to support the evolving needs of the Information Governance function. This role requires 60% in-office presence; remote work is permissible 40% of the time. Qualifications: Minimum 5 years’ experience in Information Governance, Privacy, eDiscovery, Legal Operations, and/or Legal Technology, preferably in a legal setting or professional services environment. Demonstrated expertise in legal research and analysis, particularly in areas related to data governance, information governance, privacy, and professional responsibility. Juris Doctor (JD) preferred; active bar membership preferred. Experience managing legal technology implementations and cross-functional projects. Proven ability to develop and implement policies and procedures. Excellent planning, organizational and project management skills. Strong analytical and problem-solving abilities. Exceptional attention to detail and accuracy. Effective oral, written, and interpersonal communication skills with internal and external stakeholders. Ability to work independently and collaboratively with cross-functional teams. Ability to prioritize, execute, and problem solve in a fast-paced environment. Ability to be flexible and adaptable to support new firm strategies and changing priorities. Deep personal commitment to integrity, excellent judgment, and the highest standards of ethics. Must display the highest level of diplomacy, tact and discretion, with comfort in handling and maintaining confidential information. Ability to physically manipulate documents and occasionally lift up to 40 pounds is necessary. Excellent computer skills, including proficiency in using Microsoft Word, Outlook, Excel and PowerPoint. Prior experience with Relativity and document management systems; iManage preferred. Ability to quickly get up to speed and master new applications and software is critical.
