Position Summary:

We are looking for a highly organized and proactive Administrative Assistant to join our team. This role is ideal for someone who thrives in a fast-paced environment, can juggle multiple priorities with ease, and ensures administrative processes run smoothly and on time. The ideal candidate is tech-savvy, solution-oriented, and takes initiative without needing constant supervision.

Key Responsibilities:

  • Prepare and submit HOA applications and permitting paperwork for residential construction projects
  • Maintain and balance job jackets, ensuring all documentation is current and complete
  • Utilize QuickBooks Online to log job-related expenses
  • Communicate with customers regarding project updates and next steps
  • Collaborate with the Project Manager & Salesman on materials ordering and project-specific coordination
  • Receive and accurately log purchase orders and invoices
  • Utilize Buildertrend for scheduling, project tracking, and documentation
  • Provide general administrative support including scheduling, emails, and file management
  • Work confidently with Microsoft Word, Excel, Outlook, and Adobe apps
  • Perform all duties with strong attention to deadlines, discretion, and business judgment
  • Answer incoming calls
  • Process incoming mail and emails
  • Filing and other basic clerical duties

Required Qualifications:

  • Minimum 1 year of relevant experience in construction coordination, permitting, or office administration
  • Strong multitasking and time management skills in a high-speed, high-volume environment
  • Proficiency with Microsoft Office (Word, Excel, Outlook), Adobe, and QuickBooks Online
  • Excellent written and verbal communication skills
  • Ability to work independently, make decisions when necessary, and maintain confidentiality
  • General knowledge of scheduling, accounting, and admin support within the construction industry
  • Detail-oriented, highly organized, and capable of staying calm and productive under pressure
  • Must be reliable, punctual, and results-driven

Preferred Experience:

  • Familiarity with Buildertrend or similar construction management platforms
  • Knowledge of local permitting and HOA processes in Houston or surrounding areas
