Position Title: Accountant / Office Administrator Location: Jacksonville, FL Job Type: Full-Time, On-Site | Exempt, Salary
A well-established and growing civil engineering firm is seeking a detail-oriented
Accountant / Office Administrator
to join their team. This is a full-time, in-office role supporting both the accounting and administrative functions of a small, fast-paced professional environment (under 20 employees). The ideal candidate is hands-on, proactive, and comfortable operating independently while managing day-to-day financial operations, payroll, and office processes.
Key Responsibilities: • Accurately enter daily transactions into accounting systems in compliance with GAAP • Process cash funding, accounts receivable, and vendor payments on a weekly basis • Perform monthly reconciliations of cash, investment, client, and general ledger accounts • Prepare and process bi-weekly payroll and timesheets; ensure wage law compliance • Support quarter-end and year-end close, including balance sheets, P&L, and cash flow statements • Prepare and file quarterly state and federal tax returns • Serve as liaison to vendors, auditors, IT support, and internal teams • Manage administrative tasks related to benefits, compliance, and internal operations • Assist with audit documentation and improve internal financial procedures • Maintain confidentiality of sensitive business information • Perform other related duties as needed
Preferred Qualifications: • Bachelor's degree in Accounting, Finance, or related field • 3-5 years of experience in accounting or office management, ideally in a small business • Proficient in Deltek Ajera and QuickBooks • Strong organizational and analytical skills • Ability to multitask, prioritize, and work independently • Proficiency in Microsoft Excel, Word, and Outlook • Clear written and verbal communication skills
Compensation: • Competitive salary, commensurate with experience • Potential for contract-to-hire or direct hire depending on candidate fit
