Job Description As an Executive Assistant, the successful candidate will be organized, detail-oriented, self-motivated, adaptable, ambitious, and driven. They should be able to handle confidential information and be comfortable navigating in a fast-paced environment, with a demonstrated ability to respond to changing workloads and priorities. Clear communication skills and the ability to handle multiple assignments and people simultaneously are essential. The Executive Assistant will perform duties to support their Executive(s), including but not limited to: Ensuring the leader is properly prepared and on time for meetings, project deadlines, AIs, and deliverables. Preparing or coordinating the preparation of correspondence, reports, presentation materials, and other written communication for meetings under tight deadlines. Managing calendars and scheduling with tact and discretion for both personal and work engagements. Handling confidential and personnel information with trust and discretion, interfacing appropriately with internal and external clients and senior executives. Creating meeting agendas, coordinating staff meetings, internal and external events, and supporting team cadences. Managing invoices and vendors. Acting as the main point of contact for requests, including greeting visitors when necessary. Coordinating logistics for travel, events, and meetings, ensuring accurate T&E ledgers via Concur. Assisting with event planning and coordination for team meetings and summits. Managing travel and expenses reporting. Supporting organizational culture and engagement initiatives. Ensuring quality control, proofreading, and editing where necessary. Performing ad hoc administrative tasks and projects as needed. Minimum Qualifications High school diploma required. Experience supporting executives, VPs, Directors, or Managers. Ability to interact with all management levels. Proficiency in Microsoft Office Suite and familiarity with business technology like web conferencing, SAP, Ariba, WorkDay, Concur, etc. Excellent organizational, communication, and social skills with attention to detail. Ability to work in a fast-paced environment and handle workload effectively. Experience with automated expense tracking and online travel management. Ability to anticipate needs and make decisions independently. Task-oriented with a focus on completing tasks within narrow timelines. Willingness to work overtime as needed.
