Julian & Co. is a well-established accounting firm seeking a professional and friendly Administrative Assistant to be the first point of contact for clients and visitors. This role plays a key part in ensuring smooth day-to-day operations, providing exceptional customer service, and supporting our team during the busy tax season.
Responsibilities Greet clients and visitors in a professional and courteous manner Answer and direct incoming phone calls and respond to voicemail messages promptly Manage appointment scheduling for accountants and tax professionals Monitor and respond to emails sent to the general office inbox Handle incoming and outgoing mail and packages Receive and log client documents and tax materials; assist with organizing and scanning documents into the system Maintain a clean and organized reception area Assist with assembling and organizing tax returns and client packets Provide administrative support to staff as needed, including data entry, filing, and managing office supplies Uphold confidentiality and discretion with sensitive client information Qualifications Prior experience in a receptionist or administrative role, preferably in a professional office environment Excellent communication and interpersonal skills Strong organizational skills and attention to detail Proficiency with Microsoft Office Suite (Word, Outlook, Excel) and general office equipment Experience with document management systems or tax software (a plus, but not required) Friendly, reliable, and professional demeanor
