Office Coordinator , you’ll serve as the first point of contact for clients, employees, and vendors. You’ll support smooth day-to-day operations across departments while delivering exceptional service and leadership within our Front Office team. Frontline Experience & Client Support:
Serve as the first point of contact for clients, employees, and visitors by welcoming walk-ins, managing incoming calls, and ensuring timely and accurate case routing and resolution.
Administrative & Document Processing:
Execute a range of administrative tasks, including processing new hire packets, benefits and unemployment forms, document scanning, data entry, and reprinting W-2s or pay stubs. Ensure accuracy and confidentiality in all paperwork handling.
Payroll Distribution:
Oversee the end-to-end process of payroll check handling—including printing, packaging, and distribution—while monitoring associated expenses and adhering to strict timelines and compliance standards.
Office & Facilities Management:
Maintain day-to-day office operations, including supply inventory, equipment upkeep, conference room scheduling, and vendor coordination. Take ownership of workspace cleanliness and readiness, addressing facility needs proactively.
Independent Execution:
Perform responsibilities autonomously with minimal oversight, demonstrating sound judgment, accountability, and reliability in a fast-paced, high-volume environment.
Team Collaboration & Support:
Partner with peers across locations and departments to ensure seamless service delivery. While not a formal leadership role, support team initiatives and uphold a high standard of operational excellence.
WHAT YOU BRING Proven experience in a
customer-facing role , with strong communication and service skills.
Ability to
manage a high-volume workload
efficiently and with attention to detail.
Strong
administrative and organizational skills , with experience in data entry, document handling, and scheduling.
Comfort with
cross-functional collaboration , including HR, payroll, and facilities support.
A
team-first mindset , with a drive to improve processes and contribute to a high-performing culture.
