Essential Responsibilities:
The Project Administrator will provide administrative and project support to the construction and project management teams. This role is critical in maintaining project documentation, coordinating communication between internal and external teams, and helping ensure overall efficiency and compliance on projects.
Provide administrative support to project teams including phone management, scheduling, and document control
Process and distribute general correspondence with clients, subcontractors, owners, architects, and internal team members
Create, track, and maintain project documentation including Subcontract Agreements, Purchase Orders, Change Orders, Submittals, RFIs, and Closeout Documents
Manage and update Drawing Logs, Compliance Logs, and Certificates of Insurance
Handle document uploads and routing using DocuSign and shared electronic platforms
Assist with planning and documenting meetings, including scheduling and recorded meeting minutes
Act as a liaison between project teams and subcontractors to ensure clear communication
Maintain and update electronic filing systems using Microsoft Office, Sage 300, and related tools
Assist with creating project binders and ordering supplies for office and job site needs
Support safety, estimating, and closeout documentation processes as needed
Handle confidential and time-sensitive information with professionalism
Other duties and responsibilities as assigned
Ideal Candidate:
Associate degree or equivalent work experience
Minimum of 2 years of administrative or customer service experience, preferably in construction
Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); knowledge of Sage 300 or similar platforms is a plus
Strong organizational skills and attention to detail
Ability to manage multiple priorities and deadlines
Excellent communication and interpersonal skills
Positive, proactive team player with a professional demeanor
Comfortable handling confidential information
Familiarity with construction documents and terminology
Must be able to lift and move materials up to 25 lbs as needed
Compensation & Benefits:
This is a full-time position. A competitive salary will be offered that is commensurate with the Ideal Candidate’s experience. Benefits package includes Medical/Dental/Vision/Life Insurance, 401(k), and paid holidays/vacation.
