Description
This is a
temporary, part-time position
providing additional support to the Development Office. The role will focus on three key areas in the Raiser's Edge database: gift management, data analysis, and reporting. As this is a temporary role with an immediate start, we're looking for candidates who bring strong, proven experience in the key responsibilities listed.
Reporting to the Executive Director of Development, the
Advancement Database Support Specialist
will assist with managing Raiser's Edge database operations, partner with the Business Office on reconciliations, and help maintain data accuracy and compliance with accounting principles.
Primary Responsibilities:
Database Management Oversee the daily operation of the Development database Manage all charitable gift processing, including gift entry, stock receipts, acknowledgment letters, pledge reminders, and report generation Manage and reconcile all gifts that come into the institution's account correctly, ensuring accurate recording and acknowledgment Analyze data, generate reports, and provide insights to support fundraising strategies and decision-making Utilize donor management software (e.g., Raiser's Edge) and tools such as Google Sheets and Excel Produce fundraising reports for the advancement team, board members, and the Head of School Manage tracking systems for leadership donors and prospects Create constituent profiles and prospect/donor mini-bios Conduct statistical and analytical reporting and data analysis Manage regular department meetings related to database needs, practices, and protocols Serve as key liaison to Technology to resolve database integration and operations issues; manage future data conversions and/or upgrades Develop and maintain efficient systems and written protocols for ensuring data integrity, including data entry, gift processing, biographical information, prospect research, and relationship management Perform ongoing data integrity work, including clean-up, manipulation, and restructuring Manage segmentation of the Annual Fund solicitations Coordinate with the Business Office on monthly reconciliation and provide necessary reports and donor information for the annual audit Complete comprehensive fundraising surveys such as NAIS DASL and ABADO/AeXIS Generate lists for all fundraising appeals, annual giving reports, and audits Office, Administrative, and Department Support
Create and maintain up-to-date templates for reports, exports, and mailings Manage individual pledges, matching gifts, and stock transactions Provide Raiser's Edge user support for colleagues Perform other duties as assigned Qualifications
Qualifications
Must have experience with Raiser's Edge
andunderstanding of gift processing, data entry, and reporting best practices. Strong analytical and reporting skills , including proficiency with Excel and Google Sheets for data manipulation. Knowledge of fundraising operations
and familiarity with gift acknowledgment, pledge tracking, and reconciliation processes. Attention to detail and data integrity , with experience maintaining clean, accurate, and secure records. Ability to collaborate
with development, finance, and technology teams to ensure smooth database operations and accurate reporting. Excellent organizational skills , with the ability to manage multiple tasks and meet deadlines in a fast-paced environment.
