BRIEF DESCRIPTION:

The School of Mission and Theology is looking for a part-time office assistant to work alongside the Dean's Office. This position will help with front-facing aspects such as receiving and guiding guests and faculty in the Dean's lobby area. This person will provide support to the dean, assistant dean, and office managers and will assist the dean with special projects. This person will also help with general event support, group meeting scheduling, and financial paperwork tasks. This person should be highly organized and have the ability to work in a collaborative environment and have the ability to communicate with people of various cultures. This position has flexible hours and can accommodate a student's schedule.

Essential Functions: Assist Dean's office with basic office management such as overseeing stock and inventory, opening and closing tasks, and keeping a welcoming, clean environment Assist the Dean, Assistant Dean, Faculty Affairs Manager, and Administration and Operations Manager with projects as assigned Assist the Dean and Assistant Dean in scheduling individual and group meetings utilizing Google Calendar and Zoom Assist with preparing basic financial paperwork for invoices, reimbursement, and reclasses under the guidance of the Administration and Operations Manager Assist in assembling and coordinating the faculty and alumni newsletters as directed by the Dean or Assistant Dean Reserve and prepare conference rooms for meetings and events, and connect the proper departments to carry out the event as requested (event production, tech, auxiliary, chairs & tables) Keep the office well stocked with office supplies and maintain the office supply inventory Ensure that the Payton printer areas, hallways, and common rooms are clean, fridges are emptied periodically, and printers are stocked Event Support:

Assist in year-round coordinating tasks, including room reservations, food ordering/pickup, media creation, etc. Assist with campus access for guests and speakers, including parking passes, library access, guest wi-fi codes, maps, etc. Create promotion materials for events such as digital posters, prints, or event signs Other:

Provide administrative support in areas such as correspondence, mail, and library requests as needed. Preparing Excel sheets or PDF files for reports, etc. Provide other administrative support as assigned by the Dean, Faculty Affairs Manager, and Administrative Operations Manager Qualifications:

Strong organizational skills and ability to self-pace and keep deadlines when working on multiple short-term and long-term projects. Able to follow through and follow up on all tasks. Proficiency with software such as MS Word, Excel, Adobe Acrobat, Google Docs, Google Suite, and Canva is a plus; the applicant should have an interest and ability to enhance computer skills. Cross-cultural sensitivity and respect; able to communicate with people of various cultures Capacity to maintain a high degree of confidentiality. Must be qualified for Federal Work Study Physical Requirements:

Moderate carrying in preparations for events; less than 15 lbs Additional Remarks:

This position will be based at the Pasadena campus. Must be willing to abide by Fuller Community Standards Pay Scale: Hourly rate the seminary expects to pay: $19.00 per hour USD Position available July 1, 2025
