Document Coordinator - Team Lead
to manage document handling operations for a project expected to run through the end of 2025. This individual will be responsible for day-to-day document coordination activities, while also leading a small team, ensuring project milestones are met, and maintaining quality standards across all processes.
Key Responsibilities: Document Coordination Duties:
Prepare documents for scanning by removing bindings, labeling, indexing, and tracking. Review document content to capture and assign required metadata (e.g., document type, discipline, date, author). Scan documents to PDF or other file types using in-house equipment and software. Conduct quality checks on scanned files to ensure completeness and accuracy. Transfer and organize boxed documents to designated on-site locations. Management & Oversight Responsibilities:
Supervise and support a team of document coordinators and/or temporary staff. Monitor daily workflow and assign tasks to ensure deadlines are met efficiently. Track and report team productivity metrics and box/document movement. Act as primary liaison with the RT Closure K&I Advisor and third-party vendors. Coordinate logistics and scheduling for box transport and off-site scanning. Identify process improvement opportunities and implement best practices. Provide basic training and support to new team members as needed. Ensure adherence to data handling policies and safety standards.
Qualifications:
Previous experience in indexing, archiving, document control, or data entry. Prior supervisory, lead, or coordination experience strongly preferred. Must be able to lift up to 35 lbs regularly. Strong attention to detail with a focus on data accuracy and consistency. Ability to learn and work with scanning/document management software. Proficient in multitasking and prioritizing in a fast-paced environment. High school diploma or equivalent required. Proficiency in Windows 10 or higher and strong working knowledge of MS Excel.
