Summary

The Residency Program Coordinator, under the direction and supervision of the Program Director is responsible for assisting in the administration of the residency program as outlined in the Accreditation Council of Graduate Medical Education (ACGME) Program Requirements. The Residency Program Coordinator provides administrative support to the Program Director of the residency program, the Associate Program Directors, the Program Manager and Chief Residents, as well as provides administrative support to core faculty, residents, and fellows. Interacts with faculty, residents, fellow(s), medical students and institutional and regulatory administrative offices as directed by the Program Director. This position will have a role in the administration or preparation of the departments or the organization's budget. May attend management meetings and may be involved directly or indirectly around confidential management decisions. Position requires exercise of independent judgment.

Responsibilities

Provides administrative support to Program Administrator/Manager or Program Director. Coordinates the Residency Program daily operations and logistics; Directs the work flow and supervises the necessary administrative paperwork, records and complex filing systems to support the program. Coordinates the ACGME Accreditation and Reporting Requirements to External Agencies/Organizations ensuring compliance with program requirements. Configures and customizes the residency program database on New Innovations, maintains Web-based ACGME accreditation surveys and any other required database related to the residency program (i.e., ERAS, GME TRACK, etc.). Coordinates recruitment of residents and fellows (appointments, re-appointments, terminations); Prepares letters of recommendation/verification and maintains career resources for senior residents. Prepares and distributes all post-graduation verifications. Coordinates scheduling planning and organization of residents and fellows orientation, graduation, social and retreat activities for resident. Develops, oversees and improves the residency educational programs, implements changes based on the current accreditation standards and prepares for accreditation site visits and review by the Accreditation Council for Graduate Medical Education (ACGME). Develops and recommends residency program policies and procedures, advises residents on departmental policies. Schedules and prepares agenda for education/program committees or meetings; provides support to committees as necessary. Maintains all relevant learning materials. Assist and tutors residents/staff in the use of computers and applications; Maintain teaching files and other board study materials for residents; Maintains audio-visual equipment; Maintains the conference room schedule. Provides administrative support for residents and core faculty; assists Chief Residents in creating yearly rotation schedule for residents, including yearly call, conference, and vacation schedules for the program; Provides support to committees as necessary. Maintains and updates credentialing records/ curriculum vitals of core faculty. Provides clerical assistance in preparing manuscripts for publication in various medical journals; Assists in literature searches and article retrieval as needed; Advises residents on departmental policies. Disseminate/distribute all training-related information to residents. Demonstrates behaviors of service excellence and CARE values (Compassion, Accountability, Respect and Expertise). Performs all other related job duties as assigned.

Experience

Generally requires 3 to 5 years of related experience.

Education

High school diploma is required.

Credentials

Active license or certification is required as needed, based on the job or specialty.
