Job Description Position Summary: Szawlowski Farms, LLC is seeking a detail-oriented, reliable, and highly organized Administrative Assistant to support our office operations. This individual will play a key role in ensuring efficient administrative support, accurate data entry, and timely communication with customers, vendors, and internal departments. The ideal candidate is proactive, proficient in Microsoft Office and QuickBooks, and demonstrates strong communication and problem-solving skills. Key Responsibilities:
Answer and manage inbound and outbound phone calls in a professional manner. Monitor and respond to emails across multiple inboxes to ensure timely communication. Accurately enter new customer orders into the system. Collaborate with Sterman Masser Inc. (SMI) regarding any order discrepancies or issues. Enter vendor bills and customer invoices into QuickBooks with precision and accuracy. Work directly with customers and vendors to resolve billing inquiries or disputes. Provide support with Accounts Receivable (AR) and Accounts Payable (AP) processes as needed. Coordinate with the Logistics team to schedule delivery and pick-up appointments. Maintain and organize company files, records, and documentation in a secure and accessible manner. Provide general administrative support to office staff and management as needed. Uphold confidentiality, professionalism, and accuracy in all administrative functions. Qualifications:
High school diploma or equivalent required; associate degree or higher preferred. Minimum of 2 years of administrative or office support experience preferred. Proficient in Microsoft Office Suite, particularly Excel and Word. Strong working knowledge of QuickBooks (Desktop or Online). Excellent verbal and written communication skills. Strong attention to detail and ability to prioritize tasks in a fast-paced environment. Demonstrated problem-solving abilities and a customer-service-oriented mindset. Ability to work independently and collaboratively as part of a team. Work Environment & Schedule: This position is primarily based in an office setting.
