Duties & Responsibilities
Position Overview: The Division of Community Engagement at Virginia Commonwealth University (VCU) is seeking a dynamic and collaborative Program Coordinator to support and advance the university's efforts to document its community-university partnerships, focusing on assessment and impact. This position is designed for an individual with strong relational and communication skills who is passionate about community engagement and understands the value of partnership work across teaching, research, service, and institutional collaboration.
The coordinator will support a variety of programs and initiatives within the Division, with the major ongoing project being the implementation and coordination of Collaboratory-a web-based platform that serves as the university's primary system for documenting community partnerships. While Collaboratory will be the central project of this role, the coordinator will also contribute to broader coordination support across the Division, requiring independent thinking, training facilitation, and strategic coordination.
Key Responsibilities:
Serves as the lead coordinator for VCU's implementation and use of Collaboratory, the Division's primary platform for documenting community-university partnerships. Builds relationships with faculty, staff, and research personnel to support their understanding of partnership documentation and facilitates their use of Collaboratory for capturing their community-engaged activities. Coordinates and performs data entry of partnership activities into the Collaboratory system; ensures entries are accurate, timely, and aligned with platform standards. Provides support and guidance to faculty and staff for entering their own partnership information into Collaboratory, including through one-on-one assistance, group support sessions, and clear instructions. Organizes and oversees data entry efforts by working collaboratively with faculty, staff, and research teams to ensure that partnership documentation is consistent, complete, and reflects the breadth of university engagement. Designs and delivers training, workshops, and individualized support sessions to build campus-wide capacity for using Collaboratory and understanding its purpose. Uses qualitative and quantitative data to help translate engagement activity into visible, accessible records that reflect both individual contributions and broader unit-level and university-level impact. Collaborates with Division staff to ensure that Collaboratory supports storytelling, recognition, reporting, and strategic planning efforts. Supports additional program coordination needs across the Division, including organizing events, supporting internal communications, and contributing to team projects related to engagement and partnership impact. Maintains regular communication with university partners and assists with the documentation of engagement-related outcomes across a variety of initiatives beyond Collaboratory. Supports the strategic goals of the Division by helping create systems and practices that elevate the visibility and value of community engagement documentation across the institution. Qualifications
Required Qualifications:
Demonstrated experience working in and fostering an environment of respect, professionalism and civility with a population of faculty, staff, and students from various backgrounds and experiences, or a commitment to do so as a staff member at VCU. Preferred Qualifications:
Master's degree required; MPH or a degree in Public Administration, Education, Social Work, or a related field is preferred. Demonstrated experience in community-engaged work, higher education engagement, or partnership coordination. Strong facilitation, communication, and interpersonal skills, with comfort leading trainings and interacting across academic disciplines and roles. Proven ability to manage complex projects independently and collaboratively. Strategic thinking and the ability to connect faculty/staff community engagement partnership efforts to institutional priorities and community impact. Demonstrated understanding that collecting and sharing information about community partnerships is important for showing impact.
Ideal Candidate Profile:
The ideal candidate will be a connector-someone who understands that documenting partnerships is not just about systems but about supporting people in telling their stories and making their work visible. This individual should be comfortable navigating academic environments, curious about different forms of engagement, passionate about building a culture of reflection and recognition around community partnerships, as well as managing the data entry and management details necessary to maintain a living, growing database. While the coordination of Collaboratory will be a major and ongoing responsibility, this role is fundamentally about strengthening the systems and relationships that allow VCU faculty and staff to more fully document and assess community partnerships.
