Position Summary:
The Coordinator will support the daily operations of the P-TECH program under the guidance of the Executive Director of High School Opportunity Programs. This role requires strong collaboration with partner high schools, Vaughn College departments, and external stakeholders. The Coordinator will help ensure effective communication, facilitate student support services, and assist with events, data tracking, and compliance to meet grant objectives.
Key Responsibilities: Act as a key liaison between partner high schools and Vaughn College departments to maintain timely communication and ensure the smooth coordination of student services. Maintain consistent communication with partner schools to obtain new student information, support registration processes, collect grades, and coordinate transcript processing. Meet monthly with P-TECH Vaughn students to monitor academic and program progress, providing individualized support to help students stay on track toward high school and college graduation. Occasionally travel to partner high schools and community sites to support events, recruitment, and programming. Support and help organize Vaughn College-based events for P-TECH students in collaboration with various college departments and staff. Facilitate engaging student workshops and activities to promote participation, enrichment, and academic success. Supervise tutors, career professionals, and mentors involved in the program, offering support and guidance to ensure alignment with program goals. Submit and manage purchase orders related to grant-funded programming and track associated expenditures. Maintain accurate records and databases of high school and college student participation, including enrollment, academic performance, and service delivery such as tutoring, advising, bootcamps, online workshops,etc. Collaborate with the Registrar and other college offices to manage student registration and academic record processing in SONIS and other relevant systems. Assist with collecting documentation required for NYSED reporting and ensure all data is organized and readily accessible. Participate in recruitment activities both on-campus and at partner schools, representing P-TECH to prospective students and families. Engage in professional development and support opportunities for students, staff, and partner school personnel. Perform additional duties as assigned by the Executive Director. Qualifications:
Bachelor's degree. At least 2 years of experience working with state or federally funded college access programs, or similar initiatives focused on low-income and/or first-generation students. Demonstrated understanding of the challenges faced by students from historically underrepresented backgrounds. Strong written and verbal communication skills with the ability to engage with diverse audiences including students, families, school staff, and college personnel. Proven ability to track data, manage records, and organize events and student services. Experience using Microsoft Office Suite (Word, Excel, PowerPoint) and educational platforms such as SONIS, preferred. Highly organized and able to work both independently and collaboratively. Flexibility to travel locally to high schools and attend on-campus events as needed. Preferred Qualifications
Bachelor's degree in education, social work, school counseling, or a related field. Experience working with software platforms such as Microsoft Forms, DocuSign, Zoom, D2L (or similar LMS), Blumen (or similar participant tracking system), and SONIS (or similar SIS). Demonstrated experience working with high school students in an academic or mentoring capacity. Proven ability to coordinate project-based programming, events, and field experiences. Familiarity with the college admissions and financial aid processes, particularly in advising underrepresented or first-generation college-bound students. Ability to communicate in conversational Spanish is highly desirable.
Work Environment and Physical Functions
This position operates in a hybrid work environment, with responsibilities carried out both remotely and on-site at Vaughn College and partner high schools. The role requires regular in-person travel to partner schools and attendance at events or meetings hosted on campus. While working on-site, the employee must be able to sit, stand, and navigate within an office or classroom setting. Routine use of office equipment-such as computers, printers, and shared devices-is required and is the shared responsibility of all team members. Flexibility and adaptability to both virtual and in-person settings are essential.
Compensation
This compensation for this position is expected to range from $30.22 - $32.00 per hour ($55,000.00 - $58,240.00 per year).
