Full-Time, Non-Exempt Responsibility Breakdown: Office & Logistics – 30% Event Planning – 35% This hybrid role supports the CEO as an executive assistant and the team as office coordinator, including event planning. It’s central to agency operations and client success, especially in hospitality, food, and beverage. This position reports to the CEO and works closely with the Managing Director on operations. Ideal candidates have 3+ years of experience as an executive assistant or office/events manager, with interest in hospitality marketing and PR. Workload shifts seasonally. af&co. Fundamentals – You Are: Discreet and professional with confidential information An experienced assistant and events manager with strong references Detail-oriented with a proven event planning background Comfortable assisting with social media content (posting, light editing, scheduling) Highly organized, creative, empathetic, resourceful, and strategic Passionate about food, restaurants, travel, and hospitality A strong writer—whether for executive emails or social posts A natural networker and team player, juggling multiple projects smoothly Positive, drama-free, and efficient Strategic and high-quality in your work Courteous and attentive to leadership and client needs Productive and skilled at task prioritization Adaptable and responsive Comfortable working independently from home (team is fully remote) A resident of the SF Bay Area (this is not a remote-only role) A licensed driver Nice to Haves: Love of pets (open to babysitting Dolly, our Director of Pet Relations) Jack/Jill of all trades Familiarity with social media platforms (Instagram, Facebook, LinkedIn) PR & marketing experience Experience with internal/external events Eagerness to learn Strong problem-solving and adaptability Support the CEO in all aspects of executive operations, external relations, and special projects. This is a hands-on role with high visibility and responsibility. Key Duties: Manage the CEO’s calendar via Google Calendar Organize a busy inbox—sort, summarize, and file emails Coordinate travel plans, agendas, and documents Draft and send confidential correspondence Post to CEO’s social media accounts (LinkedIn, Facebook, etc.) Act as liaison between CEO and internal teams Keep CEO informed of key updates and priorities Provide daily briefings and insights Maintain company contact database Liaise with bookkeeper; manage invoices and vendor payments Draft memos, letters, and business documents Support charitable, speaking, and press engagements Office & Logistics (30%) Ensure smooth internal operations and team support. Keep systems updated and help onboard new hires. The role grows as the agency grows. Key Duties: Onboard new employees and interns Track and negotiate with vendors Bring a natural sense of hospitality to all interactions Be proficient in tools like Canva, Mailchimp, Eventbrite, Google Workspace Stay curious and growth-oriented Problem-solve quickly and efficiently Event Planning (35%) Support the execution of internal events and high-profile client activations like Taste America, Oakland Industry Night, and Taste Tri-Valley. Internal Events: Build itineraries and collaborate on agendas Coordinate welcome kits, activities, vendors, A/V, and swag Prep presentation materials and session schedules Track expenses and manage receipts Lead on-site logistics Client Events: Assist with budgets, sponsor outreach, and donations Manage host committees and chef collaborations Organize guest lists, invites, RSVPs, seating Support auction packages and display materials Help build run-of-show documents and manage execution Offer on-site support and guest check-in Capture social content and assist with post-event materials A tight-knit team of pros passionate about hospitality Medical, dental, and vision insurance (Kaiser or Blue Shield) Paid time off and holidays Remote work setup 401(k) with profit sharing Delicious perks from client experiences Compensation: Starting at $80,000 + performance bonuses and incentives, commensurate with experience and skill.
