The
Auxiliary Programs Manager
is a full-time, 12-month, exempt position that will report to the Director of Auxiliary Programs. This position will assist with overall operation and management of Landon Summer as well as Extended Day programs, facility usage, and other alternative revenue sources for Landon School. The candidate will ensure that all programs provide a safe and enriching environment for participants and are consistent with the school's mission, vision, and values. The candidate will be detail oriented, creative, motivated, positive and flexible; exhibit integrity and discretion; and work collaboratively with colleagues.
Essential Responsibilities - Landon School
Extended Day/LEAP
• Oversee Lower School and Middle School AfterCare & BeforeCare
o Manage Before & AfterCare coordinators
o Interview, hire, and train new coordinators as needed
o Approve and submit charges to the Business Office
• Develop and execute an innovative, revenue generating enrichment program (LEAP) for Lower and Middle School students
• Recruit Landon School faculty and staff to contribute their time and talents to the after-school enrichment program.
• Manage registration for programs in CampBrain
• Work closely with Communications in updating website and back-to-school portal
• Order supplies such as snacks, class materials, sports equipment
• Oversee finances (pricing, pay scales, payroll, and budgets)
• Manage registration and ensure accurate posting of Extended Day & LEAP charges to family accounts by Student Billing
• Communicate with parents of students using Extended Day/LEAP programs as appropriate
• Coordinate student registration and schedules with Transportation Coordinator
Other
• Assistance with budgeting and reporting for areas of responsibility
• Attend weekly calendar meetings to ensure smooth operations
• Support faculty-led travel programs and facility rental programs
• Other projects and duties as may be assigned
Essential Responsibilities - Landon Summer
General Responsibilities
• Support Director of Auxiliary Programs (Camp Director) with all Landon Summer preparations
• Assist Camp Director in managing 250 staff members and 2,800 campers
• Supervise and oversee Extended Day (Early Morning, Halftime, Late Afternoon Program) programs
• Participate in regular professional development to stay current in best practices and trends
Landon Summer Office Manager
• Provide high quality customer service to Landon Summer Families, including answering phones and emails
• Ensure that parent communications are dealt with in an appropriate and timely manner
• Support Assistant Director of Auxiliary programs with HR onboarding for seasonal employees
• Manage the camp database (CampBrain), configure the system for registration, and produce reports as needed
• Manage daily and weekly attendance with assistance from Zone Coordinators
• Manage camp waitlists in accordance with camp policies and procedures
• Mail monthly birthday postcards
Extended Day
• Interview, hire, and train summer extended day staff, including reaching out to staff eligible for re-hire
• Track snacks and supplies inventory and purchase more as needed
• Manage extended day budget
• Analyze previous summer expenses and plan out new budget
• Enforce camp policies (dismissal, storm procedures, etc)
• Create inclement weather plans and activities
• Utilize CampBrain to access camper and parent information
• Keep accurate daily attendance
• Communicate drop ins and schedule changes with appropriate camp office
• Send timely emails or texts to all parents of weather-related updates
• Support Camp Director in other business and operational areas as needed
Requirements
• Minimum of a bachelor's degree in relevant discipline.
• Experience in a youth development field preferably in educational/academic setting and with youth programs.
• Strong communication and interpersonal skills.
• Ability to work independently and as part of a team.
• Previous supervisory experience is preferred.
• Proficiency in Excel, database systems, and other technological tools.
• Experience working with budgets and financial tracking.
Physical Demands and Work Environment
Daily responsibilities and other duties require employee to move around a 75-acre campus. Regularly required to sit and stand for long periods of time. Ability to operate a computer and other office equipment. Ability to reach with hands and arms, and lift/move up to 20 lbs. Required to be able to respond to the School's emergency plan, ensuring safety of children during a crisis.
