Position Summary Whitworth University is seeking a collaborative and detail-oriented Program Coordinator to support the day-to-day operations of our Graduate Studies in Education (GSE) programs. This role is key in ensuring strong administrative support, smooth office operations, and successful coordination of events, communication, and student support processes.
Working closely with faculty, students, and university partners, the Program Coordinator serves as a central hub for the GSE office, coordinating logistics and meetings, supporting onboarding, supervising student staff, and tracking budgets.
Core Responsibilities Administrative Support | 30% Coordinate and attend meetings for various GSE groups including GSE directors, counseling team, staff, advisory boards, and other meetings as requested. Assist with minute-taking in GSE meetings as appropriate. Support the coordination of materials for GSE orientations, trainings, and events. Attend and assist with graduate commencement under the direction of the registrar's office Provide support to GSE faculty, including adjuncts, as needed (e.g. textbook orders, course material procurement, course syllabi collection and review). Coordinate practicum and internship packets for the School Counseling program and other programs as needed. Assist with arrangements for yearly standardized exams held on campus for GSE students and off-site participants. Coordinate the collection of exit project data for select programs. Coordinate stipend and honorarium payments for GSE programs, including for practicum/internship supervisors, review board participants, guest speakers/presenters, and contractors. Input and update course schedules for graduate programs in coordination with program directors and the registrar's office. Assist with course catalog updates. General Office Support | 25%
Serve as GSE front-desk staff, greeting and responding to GSE visitors in person, as well as via phone and email. Establish and maintain standard office procedures in coordination with the dean's office and program directors. Establish technology systems that expedite office procedures. Maintain knowledge of the various functions, policies, and procedures of the Graduate Studies in Education office and the university. Manage inventory and re-ordering of office supplies and GSE-branded materials for the GSE office and program promotion. Assist with administration, communication flow, and follow-up on departmental activities. Maintain physical and online filing systems for students and program accreditation. Coordinate facilities work orders. Onboarding new GSE employees. Serve as backup Building Monitor for Dixon Hall. Specialized Functions | 20%
Coordinate arrangements for events (forums, institutes, orientation, review boards, presentations, graduation receptions, and other events as needed), including room reservations, ordering food, supplies, and branded items, thank you gifts, etc. Prepare drafts of flyers, handouts, and other print materials for GSE events, working with the university marketing and communications office as required. Assist with event registration and record keeping as requested. Coordinate payments and budget tracking for GSE events Supervisory and Fiscal Support | 15%
Hire, train, supervise, and assign work responsibilities to GSE student assistants. Monitor all GSE budget accounts in coordination with GSE program directors, regularly reporting updates to the Whitworth University business office, GSE program directors, and the associate dean's office. Assist in overall budget management for GSE and creating reports as needed for GSE program directors and the associate dean's office. Other Responsibilities | 10%
Contribute to special projects, department initiatives, and strategic planning efforts. Participate in departmental meetings and professional development activities. Perform other duties as assigned to support the mission and operations of GSE. Qualifications and Core Competencies
