Job Title: Document Control / Accounting Assistant
Pay: $18+ per hour (Based on Experience) Shift: 1st Shift
Job Summary:
The Document Control / Accounting Assistant is responsible for handling front office reception and administrative tasks while providing key support to the Accounting, Purchasing, Quality, and Warehouse departments. The ideal candidate will have experience invoicing/accounting experience and be capable of managing multiple priorities in a fast-paced environment. Bilingual (English/Spanish) candidates are highly encouraged to apply.
Essential Functions:
Greet and assist visitors; answer, screen, and direct incoming phone calls Maintain a clean, organized, and secure reception area Perform general administrative duties such as filing, copying, mailing, etc. Arrange catering/lunches for meetings (on-site and off-site) Sort incoming mail and coordinate outgoing deliveries (UPS, FedEx, etc.) Order and track office supplies; run local errands as needed Assist employees with virtual meetings (HR, Safety, etc.) Receive and manage incoming material using Microsoft Dynamics NAV Maintain and update vendor occurrence logs Print, match, and code invoices for accounting approval Verify pricing and resolve discrepancies with vendors Issue and control technical documentation (drawings, ITPs, revisions) Maintain revision logs and master drawing files Perform other duties as assigned to support operations Knowledge, Skills, and Abilities:
Minimum 2 years of administrative experience required Minimum 1 year of document control experience required Invoicing and accounting experience required Proficient in Microsoft Word, Excel, and Outlook Experience using Microsoft Dynamics NAV Strong written and verbal communication skills Excellent organizational and time management skills Ability to work independently and across multiple departments Must be detail-oriented, proactive, and able to multitask Bilingual (English/Spanish) a strong plus
