Principal Duties:

Maintain project submittal files. Understand contract documents and subcontracts. Support project staff by following up with subcontractors' contractual requirements. Set up project budgets in accounting systems and communicate project status to staff. Maintain and update contract billings for all departments: review billings with engineers, managers, and clients; process government pay estimates and force accounts; handle online billings as required; allocate subcontract costs and process payments; post payments in accounting software and credit invoices; follow up on payments from owners, contractors, and clients. Obtain all project billings from subcontractors. Assist operations with resolving billing and work-related issues. Monitor job retention status. Prepare documents/releases for final payments on General Contractor projects. Process change orders with owners, general contractors, and clients. Create and process change orders with subcontractors on General Contractor projects. Handle certified payroll reports: collect, process, and distribute to owners and contractors; follow up on project status to minimize payroll mailings. Maintain knowledge of contract documents, subcontracts, and government requirements; adhere to local lien laws. Negotiate payment schedules with customers. Perform administrative tasks: prepare and submit reports, type documents, and support bidding/estimating activities, including bid proposals, bonds, and calculations. Develop and maintain a job cost system to analyze project costs and ensure profitability. Communicate cost data to managers for follow-up. Meet month-end closing deadlines; analyze profit/loss reports and communicate variances. Principal Requirements: Skills/Knowledge: - Reading: Ability to read and understand contract documents. - Computer: Proficiency in Word, Excel, Outlook; strong keyboarding skills; working knowledge of 10-key. - Licenses: Valid driver's license and favorable traffic abstract. - Education: College degree preferred; high school diploma required. - Experience: Minimum 2 years in construction industry, or as a Project Coordinator, Contract Administrator, or Project Manager.
