Summary of Position: The Program Support Specialist, Volunteer Mobilization & Leadership (VML) will be an integral member of a dynamic team of professionals focused on the exciting work of engaging, mobilizing, and growing volunteer leadership within CJP and across our community. This important role is a key partner in ensuring the critical work of governance and leadership development are successfully happening at CJP. Priorities of this role include: administrative support of multiple volunteer leadership cohort programs, CJP’s Board of Directors, and our Governance & Nominating Committee (G&N) as well as implementation of 1-2 lay leadership programs all while working closely with top volunteer leadership. This role assists with and attends meetings both early morning and evening on a monthly basis. This Program Support Specialist, VML will have opportunities to work independently within a strong team dedicated to providing exceptional service to volunteer leadership, staff, and CJP’s Board of Directors. They will thrive in a fast-paced environment managing multiple needs across the team with enthusiasm and attention to detail. Essential Functions:
General Administrative Support: Provide administrative support to VP, VML, including managing scheduling and calendar needs. Manage coordination and scheduling of meetings with internal and external stakeholders for planning purposes. Manage all logistical aspects of Board of Directors, G&N Committee, and leadership cohort programming meetings/sessions, including scheduling, ordering food, and all communication with attendees. Systematize and project manage communication to key audiences on newsletters and other important information needing to be shared on a consistent basis. Coordinate meeting materials with multiple stakeholders and presenters, including soliciting materials, organizing and consolidating information, and reviewing for accuracy and consistency. Maintain and update multiple databases (Maven and Airtable) to reflect and support volunteer pipeline needs. Attend meetings/program sessions with responsibility for attendance, A/V support, speaker coordination and other needs as they arise. Interact with CJP senior leadership, Board members, volunteers and cross-functional internal staff in a prompt, courteous, and accurate manner. Leadership Programmatic Support: Partner on highlighting CJP priorities along with core leadership competencies within program curricula. Identify and act upon efficiencies across programs, where possible. Assist in implementing programming focused on cohort building and leadership learning initiatives. Collaborate with volunteer leadership to ensure meaningful engagement with CJP and within the cohort of lay leaders. Support departmental efforts to identify rising CJP leaders ready for leadership engagement. Other duties as assigned with or without accommodation. Education:
Higher education degree or administrative/business training preferred. Experience:
1-3 years of related office and/or non-profit or program experience. Strong organizational skills and ability to keep track of multiple tasks simultaneously. Excellent oral and written communication skills. Strong interpersonal and verbal communication skills. High proficiency with Excel, Word, PowerPoint, Outlook, Zoom, and CRM databases. Ability to learn new systems and technology. Ability to handle multiple priorities at one time and meet deadlines while working across stakeholders. Ability to take initiative, problem solve, and proactively move projects forward. Ability to author and accurately proofread documents and correspondence. Ability to maintain confidentiality. Commitment to accuracy and follow through. Desire to work in a fast-paced, creative, entrepreneurial environment. Ability to be flexible and adaptable to changes and shifting priorities. Other: Understanding of the Boston non-profit community a plus. Interest in CJP mission and familiarity with the Jewish community is a plus. Consistent availability for early morning and evening meetings on a monthly basis.
