The Chief of Staff & Executive Administrator serves as a key partner to the CEO, ensuring smooth execution of strategic priorities while managing all administrative and operational needs. This hybrid role combines high-level project management, strategic support, and confidential executive administration. While the primary stakeholder is the CEO, the role also provides support to the broader executive leadership team as needed. Core Responsibilities: Strategic Partnership & Chief of Staff Functions: Serve as a trusted thought partner to the CEO on strategic initiatives, priorities, and problem-solving. Coordinate leadership team agendas, meetings, and offsites; ensure alignment on priorities, follow-ups, and actions. Manage key cross-functional projects and special initiatives, ensuring execution and accountability. Draft internal and external communications, presentations, and reports on behalf of the CEO. Support board meeting preparation, including materials, logistics, and follow-up actions. Anticipate issues, risks, and opportunities, providing proactive recommendations and solutions. Executive Administration Functions: Manage CEO calendar with attention to priorities, ensuring efficient use of time across meetings, travel, and personal commitments. Coordinate complex travel itineraries, reservations, and expense reporting. Handle sensitive information and communications with the utmost confidentiality and discretion. Organize and maintain systems for files, correspondence, and key records. Provide high-level administrative support to other executive team members as needed, especially during peak periods or key initiatives. Facilitate communication flow between the CEO, leadership team, and external partners. Required Experience & Qualifications: 7+ years in a senior executive support, Chief of Staff, project management, or related role. Proven ability to operate effectively in high-pressure, fast-paced environments. Exceptional organizational skills with strong attention to detail and follow-through. Demonstrated ability to manage confidential information with discretion. Outstanding written and verbal communication skills. Strong proficiency with Microsoft Office Suite, Google Workspace, and project management tools (e.g., Asana, Monday.com). Experience supporting C-level executives and boards preferred.
