Nemours is seeking a Surgical Practice Coordinator to join our Nemours Children’s Health team in Wilmington, DE.
This position is responsible for providing administrative and patient care coordination support for surgeons/physicians and Advanced Practice Providers in the Department of Orthopaedic Surgery. The role requires excellent customer service skills that promote patient, staff, and customer satisfaction, reflecting the Mission, Vision, and Values of Nemours. Successful candidates should be able to prioritize, make decisions, handle problems calmly and responsively, learn quickly and independently, work collaboratively, be detail-oriented, and possess excellent verbal, written, and interpersonal communication skills.
Responsibilities:
Coordinate scheduling of patient care activities, including surgical procedures, hospital admissions, and ancillary healthcare services. This involves scheduling surgeries with physicians and patient families, coordinating pre-operative appointments, and direct communication with the OR.
Answer physician and patient phone lines, handle matters independently, and triage calls to appropriate parties such as APNs or Physician Assistants.
Create letters of medical necessity for equipment, supplies, and correspondence related to surgery, school, therapy, and home care.
Manage physician calendars, including scheduling administrative meetings and family conferences, and prioritize organizational needs.
Coordinate physician clinics by monitoring schedules, tracking patient appointments, and addressing overbookings or obstacles to clinic flow.
Maintain physician time away requests, submit time off and clinic cancellation requests, and manage payroll documentation.
Coordinate tutorials, meetings, physician travel, and prepare travel reimbursement forms.
Process and maintain physician licensure, memberships, and society dues.
Update and maintain physicians' CVs and Continuing Medical Education credits.
Obtain insurance authorizations for procedures such as MRI, CT scans, and ultrasounds.
Provide backup for scheduling lines, including scheduling, modifying, and canceling patient appointments.
Perform additional duties as assigned by the supervisor.
Requirements:
High School Diploma or equivalent
Experience with MS Office, including Excel and Word
