Position Summary The Administrative Assistant will provide high-level administrative and operational support to physicians and department leaders. This role requires exceptional organizational skills, attention to detail, and the ability to manage competing priorities. The Administrative Assistant will coordinate schedules, travel, meetings, and documentation, and support both professional and personal engagement activities for physicians. This position works closely with Executive Assistants, clinic teams, and leadership to ensure seamless operations. Duties and Responsibilities Schedule and coordinate meetings, appointments, and events for physicians; maintain updated scheduling and event calendars. Book dinner reservations, coordinate event logistics, and assist with RSVPs and room/event setup. Prepare agendas, meeting materials, and minutes for executive and departmental meetings; support minute-taking as directed by the Executive Assistant (EA). Organize and manage physician travel: maintain travel documentation, confirmations, and itineraries; update travel logs and related information. Submit travel reimbursements, membership dues, and other documentation in a timely and accurate manner. Distribute meeting documents, follow-up materials, and correspondence. Coordinate with clinic and surgical schedulers to ensure alignment with physician calendars. Order and coordinate food and catering for internal meetings and events. Update physician Curriculum Vitae (CVs) with presentations, manuscripts, and certifications. Track and maintain Continuing Medical Education (CME) certifications, professional licensing, and society membership requirements. Manage correspondence (including faxing, mailing, and drafting letters) and provide frontline phone coverage, directing calls or taking messages as needed. Maintain and manage Teams channels, ensuring organized communication and up-to-date shared resources. Support documentation and organization of services such as consulting work, expert reviews, and presentations. Assist MPSH managers and MOS physicians with routine requests and provide administrative support as needed. Coordinate and review the Physician Newsletter, CME credit tracking, and relevant departmental updates. Perform additional administrative tasks and special projects as assigned.
Education, Experience, Licenses, and Certifications High school diploma or equivalent required; associate or bachelor’s degree preferred. 2+ years of administrative support experience, preferably in a healthcare or physician-facing setting. Strong organizational and time management skills; ability to handle multiple priorities. Proficient in Microsoft Office Suite (Outlook, Word, Excel, Teams) and comfortable navigating scheduling and communication platforms. Excellent verbal and written communication skills. Detail-oriented with a high degree of accuracy in documentation. Demonstrated ability to maintain confidentiality and handle sensitive information. .
