Salary Range $68640.00 - $72500.00 Salary
This position manages a range of HR initiatives focused on recruitment, employment, immigration compliance, and onboarding. This position partners with HR team members and campus stakeholders (i.e. School administrators, Information Technology Services, etc.) to ensure a seamless and inclusive onboarding and employment experience for all.
Responsibilities
Recruitment and Talent Acquisition Oversight Develop and recommend practices for all recruitment and employment-related activities to improve the efficacy, efficiency, and engagement of practices and procedures. Partners with hiring managers across the University to strategize and plan their recruiting needs for each position through intake meetings, training, and ongoing support and communication, in accordance with University best practices and legal requirements. Lead in training and supporting hiring managers and search chairs on use of University's ATS regarding access and options for reviewing, tracking and managing applications at each stage of the review process. Responsible for the university's recruitment branding through managing the position announcements and media ads. Prepares the candidate with final stage information (i.e. university benefits) in collaboration with the Hiring Manager. Communicates status updates with the HR team and search leaders. Act as point of contact for candidate inquiries and recruitment-related vendors. Provide guidance and advice on best practices and strategies for securing candidates. Ensure that all necessary background screenings and onboarding procedures are completed timely and accurately. Ensure hiring and personnel files are maintained and up to date. Compile recruitment-related reporting to senior University administration as requested. Lead special projects to advise on employment procedures and orientations, such as Summer Sports Camps hiring process, twice-annual New Faculty Orientation, Staff Instructor programs (off-season), etc. Management of the Student Employment Lifecycle for the University. This process includes partnership with Financial Aid to process Federal and Non-Federal Work-Study positions across campus during Fall and Spring terms. Process handled independently during Summer terms. Pre-Employment & Onboarding Management
Facilitate and monitor background check applications for all final candidates. Communicate completion, issues, or delays to departments and make recommendations as necessary. Monitor and process onboarding activities in the HRIS system in partnership. Communicate and respond to new hire inquiries ahead of and after orientation. Develop and maintain relevant material in the HRIS system to ensure new hires have the information and tools needed during their new employee cycle. Oversee new hire orientation materials and lead sessions. Ensure systems are updated and accessible for new hires ahead of their start. Troubleshoot as needed in collaboration with Paycom partners and ITS. Create University ERP system profiles for staff new hires to ensure email and systems accessibility. Work closely with ITS for account activation, issues, or discrepancies. Act as liaison with schools' Director of Operations and Hiring Chairs to ensure consistent onboarding experience for new faculty. Collaborate with HR Team members for "special onboarding" mass occurrences and events such as New Faculty Orientation, New Employee Orientation, Summer Camps, program staff instructors (IEN/OLLI) etc. Recommend updates and improvements to current University onboarding practices as needed. Off-boarding
Responsible for sending exit questionnaire and checklist Coordinate and facilitate exit interviews Ensure timely and efficient processing of termination in data systems Immigration Process
Partner with University's immigration attorney and the schools/departments to facilitate the Visa and/or permanent residency process for select employees. Monitor and manage restricted work authorizations including Visas and immigration paperwork, and ensuring ongoing review of expirations for renewal. Non-Employee Personnel Management
Act as primary point of contact for questions about non-employee personnel, including volunteers, Independent Contractors and agency temps. Review requests for non-employee personnel to ensure appropriate worker classification. Advise and educate departments on best practices for non-employee onboarding. Ensure background checks and trainings are completed within compliance with legal and university policies and procedures. Data Analysis
Pull employee information reports as needed in HRIS Perform other duties and projects as requested by the Director of Human Resources.
Required Qualifications
Bachelor's degree in related field 3-5 years' experience in Human Resources Ability to handle confidential information with discretion Excellent analytical and problem-solving skills Ability to build collaborative and meaningful relationships across campus and individual differences Strong employee customer service orientation with excellent interpersonal skills Excellent written and verbal communication skills Excellent time management skills and abilities Strong computer skills including MS Office Suite and Google Suite applications Must be professional, diplomatic and able to serve a variety of constituents with equity, fairness and tact Preferred Qualifications
