Job Description Salary: $22.00 per hour Job Summary: The Administrative Assistant at ATTUF GROUP provides critical support to the Operations Coordinator and broader administrative team. This role ensures efficient day-to-day office operations by performing a variety of clerical, organizational, and customer service tasks. The ideal candidate is detail-oriented, highly organized, professional, and able to thrive in a fast-paced environment.

Key Responsibilities: Provide administrative support to the Operations Coordinator and other team members as needed. Answer and route incoming calls, emails, and correspondence in a professional and timely manner. Schedule meetings, appointments, and manage calendars for office staff. Maintain and organize physical and digital filing systems, including confidential records. Assist with data entry, document preparation, and internal reporting. Order and track office supplies and ensure the work environment is clean and well-maintained. Support onboarding efforts by preparing welcome packets and scheduling trainings for new hires. Prepare meeting agendas, take meeting minutes, and distribute follow-up materials. Assist with coordinating events, training sessions, or agency-wide communications. Liaise with vendors, service providers, and building management when necessary. Monitor compliance documentation to ensure alignment with internal protocols and state requirements. Assist with invoice tracking, room and board logs, and other operational documentation. Perform other administrative duties as assigned by the Operations Coordinator.

Qualifications: High School Diploma or GED required; Associates degree or equivalent preferred. Minimum of 12 years administrative or office support experience. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace. Excellent written and verbal communication skills. Strong organizational and time management abilities. Discretion and ability to handle confidential information. Ability to multi-task, prioritize work, and meet deadlines. Professional demeanor and customer-service oriented.

Preferred Experience: Experience working in healthcare, human services, or a Medicaid-funded program is a plus. Familiarity with HIPAA compliance and file management. Bilingual (English/Spanish) preferred but not required.

Work Environment & Schedule: Standard office setting with occasional remote work as approved. MondayFriday, 8:00 AM5:00 PM or as directed by the Operations Coordinator. Occasional flexibility required based on agency needs.
