nPatient Reception and Check-in:
nWarmly welcome patients and visitors, ensuring a friendly and professional atmosphere.
nVerify patient information, including personal and insurance details, and update electronic medical records as necessary.
nSchedule patient appointments, consultations, and follow-up visits using the practice's scheduling software.
nCollect patient co-pays, deductibles, and outstanding balances, and process payments accurately.
nAnswer phone calls, address inquiries, and provide information to patients regarding appointments, services, and general practice policies.
nAppointment Coordination:
nCoordinate with medical providers and staff to schedule appointments, procedures, and consultations, optimizing patient flow and minimizing wait times.
nRemind patients of upcoming appointments via phone, email, or SMS, ensuring high attendance rates.
nCollaborate with the clinical team to manage the scheduling of urgent or emergent patient cases.
nAdministrative Support:
nMaintain patient records, ensuring accuracy, completeness, and compliance with privacy regulations.
nAssist in obtaining and organizing patient medical records, test results, and referral documentation.
nManage incoming and outgoing correspondence, including faxes, emails, and mail.
nAssist with insurance verification, pre-authorization processes, and claims-related tasks as required.
nMaintain inventory of office and clinic supplies, restocking as needed.
nPatient Relations:
nProvide exceptional customer service to patients, addressing inquiries, concerns, and requests promptly and professionally.
nDirect patients to the appropriate departments or personnel within the practice.
nMaintain a welcoming and clean reception area, ensuring a comfortable and organized environment for patients.
nDisplay empathy, patience, and sensitivity when dealing with patients experiencing pain or distress.
nTeam Collaboration:
nCollaborate closely with the clinical and administrative teams to ensure effective coordination and communication.
nParticipate in staff meetings, sharing updates, observations, and suggestions for improving front desk operations and patient experiences.
nSupport colleagues with administrative tasks and provide backup coverage when needed.
nQualifications and Requirements:
nHigh school diploma or equivalent; additional education or training in healthcare administration is a plus.
nProven experience as a Receptionist or in a similar customer service role, preferably in a medical or healthcare setting.
nFamiliarity with medical terminology, procedures, and insurance verification processes is desirable.
