The ideal candidate will be the first point of contact for patients, handling both administrative and clerical duties with exceptional customer service. nKey Responsibilities:
nPatient Reception & Greeting:
nGreet patients warmly upon arrival and ensure a comfortable and welcoming environment.
nVerify patient information, update records, and complete necessary intake forms.
nConfirm patient appointments, and reschedule or cancel appointments as needed.
nPhone and Email Communication:
nAnswer and manage multi-line phone system, directing calls to appropriate staff.
nRespond to patient inquiries via phone and email, providing information regarding services, procedures, and appointment details.
nManage patient concerns and direct them to the appropriate medical staff when necessary.
nAppointment Scheduling:
nSchedule patient appointments accurately and in a timely manner, ensuring all necessary details are captured.
nMaintain an organized and efficient appointment calendar for physicians and other healthcare providers.
nFollow up with patients to confirm appointments and provide reminders as needed.
nPatient Check-In/Check-Out:
nAssist patients with checking in and out, ensuring all necessary forms are completed and updated.
nCollect co-pays and provide receipts.
nManage patient flow and notify healthcare providers of patient arrivals.
nData Entry & Record Maintenance:
nAccurately enter patient information into electronic health records (EHR) or other medical databases.
nEnsure patient confidentiality by following HIPAA regulations and guidelines.
nFile and organize patient charts, medical records, and documents in an orderly and efficient manner.
nBilling & Insurance:
nVerify insurance information, check eligibility, and communicate with insurance companies regarding coverage details.
nCollect co-pays, balances, and process payments for services rendered.
nPrepare and submit billing claims to insurance companies as needed.
nGeneral Administrative Support:
nManage office supplies and order necessary materials as required.
nCoordinate with medical and administrative staff to ensure smooth office operations.
nAssist in the preparation of reports, records, and correspondence as needed.
nQualifications:
nHigh school diploma or equivalent; additional certification or training in medical office administration is a plus.
nProven experience in a medical office or healthcare setting is preferred.
nStrong knowledge of medical terminology, insurance processes, and EHR systems is desirable.
nExcellent communication and interpersonal skills.
nAbility to multitask and remain organized in a fast-paced environment.
nDetail-oriented with strong problem-solving skills.
