The Construction Office Associate shall assist operational leaders and company executives by providing administrative, marketing/sales, and project related support to the company.
Qualifications
High School or Equivalent Degree Required
2 to 3 years of prior Admin or Clerical experience in a Construction Company
Prior experience reviewing and handling contracts and confidential data a plus.
Position requires ability to self-manage, work independently, demonstrating accuracy, reliability, organization and problem-solving skills in a fast-paced environment
Advanced knowledge of Microsoft Word, Excel, PowerPoint and web-based systems is required
Excellent organizational skills, attention to detail, communication skills, ethics, and ability to handle multiple tasks required.
Ability to present key company values and capabilities to internal team members and as well as current and prospective clients via phone calls, virtual meetings, and/or in person presentations.
Responsibilities
This position coordinates both externally and internally with clients, vendors, subcontractors, other employees, and company executives on a weekly basis.
Resolves questions regarding the project; research and provide appropriate answers
Prepare and present meeting notes, presentations and tables utilizing Excel, PowerPoint, other programs
Monitor projects deadlines and support presentation of progress reports covering action items and progress updates
Assist operational leaders and executives in communicating key directives including processes, procedures, directions, and project related assignments to various team members, employees, and vendors via email, phone, text, as well as utilizing project management tools.
Assist operational leaders and executives in monitoring, tracking, and inspecting the usage of established management processes and best practices as well as supporting in the creation of new policies.
Obtain sign off of project documents & maintain electronic and paper files, working with other administrative team members.
Assist Project Manager in the preparation and/or review of client and vendor/subcontractor contracts, and tracking of critical project details and dates.
Assist pre-construction and administrative team in identifying, managing, tracking, packaging, and submitting bids to clients for review.
Coordinate with clients to obtain and verify key project information, such as but not limited to legal descriptions, ownership details, bonding, county jurisdiction, and invoicing requirements.
Collaborate with internal departments to ensure project scopes are complete and align with bid specifications.
Manager the update of project data across designated platforms and internal servers.
Assist with the management of the office including procuring, managing and tracking office and project insurances, various vendor accounts, bond applications, and handling general office related assignments as needed by leadership.
Build and maintain strong relationships with clients, subcontractors, and internal stakeholders as needed.
Promote a positive, collaborative office culture aligned with company values.
Attend various project scope meetings and various industry events to represent the company.
Respond to meeting contacts, collect project and bid related documents and submit to pre-construction team members to process bids.
Coordinate with pre-construction team to ensure timely creation of bid proposal and submittals.
Monitor bid activity by pre-construction team and report activity to executive team.
Position includes additional commission/bonus structure giving the candidate the opportunity to earn up to an additional $10,000 annually subject to experience, work performance, and obtaining targeted goals.
All other duties as assigned
