Position: Administrative Assistant Department/Campus: Central Office Reports to Coordinator FLSA Status: Non-Exempt Pay Grade: PG-1060 ($19.50 - $30.17 hourly) Job Type Full Time Work Hours Normal Work hours (215 days)
JOB ROLE:
The Administrative Assistant for the Finance Department plays a crucial role in ensuring the smooth and efficient functioning of daily operations. This position is responsible for providing administrative support to the operations team, managing office tasks, and facilitating communication within the department. The ideal candidate will be highly organized, detail-oriented, and able to handle multiple tasks in a fast-paced environment. QUALIFICATIONS: High School Diploma or GED Associate Degree is preferred Experience working in related fields is preferred. KNOWLEDGE AND SKILLS: Ability to establish and maintain effective working relationships both internal and external to the district. Strong proficiency in Microsoft Excel, Google Sheets, and other data tools Experience or strong interest in financial processes, payroll systems, or school operations High level of integrity, professionalism, and discretion Strong organizational skills and attention to detail KEY RESPONSIBILITIES: Provide administrative and data-entry support for the Payroll and/or Accounts Payable processes Payroll: Maintain employee records and assist with tracking payroll-related data Accounts Payable: Organize, process, and file invoices, receipts, and purchase orders Support monthly reconciliations, audits, and financial reporting Take initiative in tracking deadlines, maintaining calendars, and prioritizing tasks Maintain accurate documentation in compliance with school policies and applicable regulations Communicate clearly and professionally with staff, vendors, and administrative leaders Ensure strict confidentiality in handling employee and financial information Take direction from leadership and collaborate with other departments and vendors Meet time-sensitive deadlines under pressure with a high degree of accuracy WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS: Light Work: may require occasional light lifting. Position is in an office setting and may involve prolonged work at a desk in one location. Moderate travel may be required.
