Position Overview: The Office Coordinator is a key player in ensuring the daily operations of the office run efficiently. This role involves administrative support, coordination of internal processes, communication with vendors and subcontractors, and assisting leadership with essential follow-ups and research. The ideal candidate is detail-oriented, highly organized, and responsive to the evolving needs of the team.

Core Responsibilities:  Administrative & Financial Support: • Collect receipts and prepare expense reports for reimbursement. • Collect crew time data and submit weekly payroll. • Manage invoicing and follow up on project payments. • Pull and distribute Roofr reports, COIs, and similar documents as requested.  Bidding & Proposal Coordination: • Monitor bid portals and extract opportunity details for leadership review. • Track and send follow-up emails on outstanding bid submissions.  Vendor & Subcontractor Management: • Maintain subcontractor records including insurance and COI renewal dates. • Track certification and portal renewals (e.g., sam.gov, CMDL).  Research & Special Tasks: • Conduct research for quotes, pricing (e.g., scans, apparel, etc.). • Assist with day-to-day administrative tasks and respond to the needs of leadership.

Requirements: • Strong attention to detail and excellent organizational skills. • Proficient in navigating online portals, downloading & organizing documents, utilizing & editing PDFs, utilizing spreadsheets, calendars, ect. • Ability to manage multiple tasks and meet deadlines in a fast-paced environment. • Proficiency in Microsoft Office, Google Workspace, and general office software. • Strong written and verbal communication skills. • Self-starter with a willingness to learn and adapt quickly. • Must have reliable cell phone & high speed internet • Must have prior remote experience. References will be requested and contacted.

Nice to have: • Prior administrative, office management, or coordination experience preferred. • Prior

roofing/construction

experience is preferred but not required.

Physical Requirements: • Primarily office-based with occasional errands or light physical activity. • Ability to sit or stand at a workstation for extended periods. Benefits: • $18-$22 per hour depending on experience • Phone and internet stipend provided •Benefits to be offered after 90 days of employment • Work laptop will be provided

• Note: This is currently a remote, hourly position. In the future, there may be a transition to an in-office role based in the Woodlands, Conroe, or Willis area.
