Job Overview: The Sales Coordinator is responsible for assisting the Director of Sales procuring and organizing all group sales, corporate meetings, and event space rentals. The Sales Coordinator assists in keeping the sales office organized and the hotel staff apprised of all upcoming events. The sales department is responsible for maintaining a budget and reaching preset sales goals.

Essential Job Functions:

    n
  • Monitor, screen and respond to phone calls, emails, and mail professionally.
  • n
  • Must be a good listener and proficient in problem solving; offering solutions which benefit both the client and the hotel.
  • n
  • Working knowledge of administrative and clerical procedures and systems such as word processing, managing files and records; designing forms, spreadsheets, task sheets, and templates
  • n
  • Create and update files, proposals and contracts, invoices and estimates, process deposits and payments, group rooming lists and agendas, prepare daily event sheets and banquet event orders, welcome letters, thank you notes, and other correspondence as directed.

  • Coordinate group and event requirements with all departments within the hotel as directed, maintaining a team-oriented attitude.

  • Coordinate sales department task lists and schedules with the Director of Sales.
  • n
  • Maintain sales office database and update information as needed.
  • n
  • Design and maintain sales office spreadsheets and reports.
  • n
  • Cultivate and maintain relationships with current and prospective clients.
  • n
  • Greet and assist hotel clients and guests.
  • n
  • Perform hotel site inspections and property tours with current and prospective clients.
  • n
  • Assist with hotel trade shows, networking events, and presentations.
  • n
  • Assist with sales and marketing assignments.
  • n
  • Solicit and procure new group and transient room sales.
  • n
  • Process client VIP reservations, confirmations, cancellations, handling alerts and client requests.  
  • n
  • Maintain a polished and professional appearance.
  • n
  • Must be able to work individually and as a team.
  • n
  • Work hours are consistently Monday-Friday 9:00 AM- 5:00 PM , but must be able to work any and all shifts based on business demand.
  • n
  • Due to the seasonal nature of our hospitality industry, employee may be required to work varying schedules and varying departments to reflect the business needs of the hotel.
  • n
  • Complete any other tasks or duties related to regular job function as assigned.

Job Requirements:

n
    n
  • High school diploma or equivalent, Hospitality or Business Degree or certificates are desired.
  • n
  • Excellent verbal and written communication skills.
  • n
  • Compute basic arithmetic to include percentage calculations.
  • n
  • Proficient computer skills (Windows, MS Office, Spreadsheets)
  • n
  • Well organized and detail oriented.
  • n
  • Guest orientated and service minded.
  • n
  • Experience in event and meeting coordination is desired.
  • n
  • Proficiency in English, a second language is a plus.  
  • n
  • Banquet and Food and Beverage knowledge, a plus.
  • n
