Executive Assistant
We are currently seeking candidates for an Executive Assistant opportunity with a highly successful Alternative Investment Management firm located in Boston, MA. The Executive Assistant will provide essential support and partnership to executive leadership, including managing complex calendaring (via Microsoft Outlook), travel arrangements, internal/external correspondence, expense reporting, meeting preparation, and event coordination. The ideal candidate will have 3-5+ years of administrative and executive assistant experience in the investment management industry.
Compensation: $80,000-$100,000 base plus bonus and excellent benefits
Work-Model: Onsite 5 days/week in Boston, MA
Responsibilities:
Manage complex calendaring via Microsoft Outlook, handling scheduling across multiple time zones. Coordinate travel arrangements and itineraries (domestic and international). Oversee logistical coordination for meetings, including reserving and preparing conference rooms, arranging catering, ensuring proper AV set-up, and preparing meeting materials. Prepare and deliver detail-intensive materials, including client reporting, presentation materials, meeting prep packets, etc. Manage internal and external correspondence and develop and maintain strong relationships with internal and external teams, ensuring timeliness, professionalism, and discretion in communications. Perform expense reporting, ensuring timeliness, accuracy, and compliance in expense reporting processes. Support event planning efforts for company meetings, conferences, and celebrations. Update and maintain detailed information in appropriate systems. Provide additional support as needed.
Qualifications:
Bachelor’s degree (required). 3-5+ years of administrative and executive assistant experience in investment management industry. Excellent communication (verbal and written), interpersonal, and presentations skills. Great time-management, organization, and prioritization skills. Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel, Outlook). Previous experience utilizing Concur for expense reporting a plus. Ability to work collaboratively and independently, while maintaining professionalism and confidentiality. Proven ability to navigate competing deadlines and changing priorities.
