Job Title: Project Coordinator / Expeditor Reports To: Project Manager Location: Boerne Office or Georgetown Office, Partially Remote Options Available Type: Full Time Position Summary The Project Coordinator / Expeditor (PC&E) is responsible for managing the early-phase planning, entitlement, permitting, and development coordination of commercial real estate projects from site assignment through the start of construction. The role demands a strategic, organized, and communicative individual who can navigate local jurisdictions, develop project documentation, and coordinate with internal and external stakeholders to ensure project feasibility and compliance. Key Responsibilities Entitlement & Permitting

Identify and engage with relevant Authorities Having Jurisdiction (AHJs) Prepare and submit entitlement applications and permit packages Track permitting progress and maintain compliance with all regulatory requirements Represent client in AHJ meetings, including planning and zoning and city council public forums. Thorough understanding of public and private processes

Project Coordination

Assist in initial site planning and feasibility review Support the development of project schedules, budgets, and scope documentation Manage project timelines and coordinate with design consultants and technical teams Communicate deliverables with consultants and enforce timelines Identify critical path tasks and processes and coordinate successful completion

Stakeholder Communication

Serve as liaison among real estate managers, engineers, architects, and governmental agencies Lead or participate in pre-development and scoping meetings Report progress, flag risks, identify critical items, and provide recommendations to ensure timely delivery Solicit consultants and engage necessary scopes Schedule AHJ meetings and facilitate

Research & Documentation

Conduct jurisdictional code research and maintain a centralized record of requirements Acquire and review title commitments, surveys, zoning ordinances, and applicable development codes Maintain a comprehensive Master Project Document with clear project details and timelines Maintain weekly project updates with appropriate action items

Compliance & Due Diligence

Review easements, restrictions, and legal encumbrances that may affect development Support traffic, environmental, and utility coordination as part of site feasibility Ensure alignment with planning overlays, access requirements, and development conditions

Required Skills & Qualifications Strong understanding of land development, zoning, permitting, and entitlement processes Excellent verbal and written communication skills Ability to manage multiple jurisdictions and projects concurrently Detail-oriented with excellent organizational and documentation skills Flexible approach with focus on problem solving Proficient in Microsoft Office Suite, scheduling tools, and PDF markup software (e.g., Bluebeam) Familiarity with municipal codes, development regulations, and common development practices Bachelors degree in Urban Planning, Real Estate Development, Civil Engineering, or related experience Work Environment: This position may require occasional travel to attend site visits or in-person meetings with local jurisdictions. The PC&E must be comfortable navigating virtual and in-person communication environments while maintaining a professional and proactive approach.
