We are currently looking for a Billing Professional with multiple years of Law Firm or Professional Services industry experience. The ideal professional will have used Elite E3 or Aderant billing software previously and have experience communicating with clients and supporting collections efforts. This role will be fully remote and have varying hours.
Billing Coordinator
The Billing Coordinator is responsible for managing complex billing arrangements for a group of attorneys and/or clients. This role ensures that alternative fee arrangements (AFAs) are accurately billed in accordance with client engagement terms and that billing attorneys receive appropriate billing analysis and support.
Key Responsibilities:
Prepare and process client invoices in compliance with firm policies, client billing guidelines, and specific AFAs. Identify and resolve billing issues as needed.
Generate standard and custom reports using tools such as Excel and financial software to provide ongoing updates on billing activity.
Perform monthly reconciliation of all assigned accounts, analyzing unbilled time and receivables to ensure timely resolution.
Review and audit invoices for accuracy, and finalize and distribute bills prepared by attorneys.
Provide high-level client service to both internal and external stakeholders. Address billing inquiries, clarify invoicing procedures, and resolve discrepancies or system-related issues.
Maintain and update client billing information in the firms financial system.
Execute functions such as time and cost transfers, splits, and proforma adjustments as requested by attorneys.
Assist with the setup and ongoing management of eBilling systems for assigned clients, acting as liaison between the firm, third-party vendors, and client billing contacts.
Submit and monitor electronic invoices, ensuring timely reconciliation of accounts.
Follow up with attorneys on aged unbilled time and costs in accordance with firm billing policy.
Document billing procedures and update internal process documentation, particularly for clients with unique billing requirements.
Support attorneys and staff in the use of the firms billing systems and tools; conduct ad hoc research and analysis as needed.
Participate in special projects or initiatives as assigned.
Qualifications:
Education:
Bachelors degree in Accounting, Finance, or a related field required (or equivalent experience).
Experience:
Minimum of 3 years of billing or accounting experience in a law firm or professional services environment.
Knowledge, Skills, and Abilities:
Proficient in legal accounting systems (e.g., Elite or similar), with the ability to train others.
Familiarity with major eBilling platforms such as CounselLink, Tymetrix 360, and Legal Tracker.
Strong organizational and time management skills with the ability to manage a high-volume workload in a fast-paced environment.
Analytical thinker with the ability to interpret data and resolve complex billing issues.
Intermediate to advanced Excel skills.
Strong written and verbal communication skills.
High attention to detail and accuracy in financial documentation and reporting.
Proven ability to provide exceptional client service, both internally and externally, using discretion and professionalism.
Compensation:
$100,000 per year
