About the Role:
The Client Service Coordinator plays a pivotal role in ensuring exceptional client experiences within the commercial real estate sectors. This position is responsible for managing client communications, coordinating service delivery, and acting as a liaison between clients and internal teams to guarantee satisfaction and seamless operations.
We are seeking an experienced and resourceful Client Services Coordinator to oversee the day-to-day relations with our tenants. The Client Services Coordinator will be responsible for answering incoming phone calls, emails and web requests from tenants with service requests. The coordinator will issue work orders via the web, text or emailing service requests to the appropriate staff or vendor/contractor. This position speaks directly with the Operating Manager, Facilities Manager or Property Manager. In some cases, it is necessary with the approval of the Manager to dispatch a vendor to assist with fixing a problem.
Reports directly to departmental management and work closely with different role players, e.g. teams within the organization, vendors, tenants and customers.
To be successful in this role, the candidate must have superb organizational and communication skills, some technical ability, be polite and professional.
Responsibilities: • Provide assistance to tenants in person, on email, or telephonically. • Troubleshoot service calls and dispatch appropriate engineer and/or maintenance person. • Communicate status of service calls to client and Property/Operations Manager. • Work with the designated systems and provide insight and play a key role in system optimization. • Timely preventative maintenance database work that includes; updates as needed with changes, add new equipment or a new property, print weekly pm's, work orders and track completion with system reports. • Process completed work orders and bill accordingly for Frauenshuh Building Services (FBS) and tenant bill backs. • Keep an updated property profile list. • Escalate complaints to relevant departments. • Build and maintain close relationships with tenants and teammates.
Requirements: • At least two (2) to three (3) year's-experience as a dispatcher or related experience. • Computer skills - must be proficient with Microsoft Office and familiarity with work order systems, e.g. Workspeed. • Requires ability to operate a keyboard and spend prolonged periods of time working at a P.C. monitor. • Prior administrative or client services experience within a corporate organization is strongly desired. • A professional and friendly demeanor. • Have a keen eye for detail. • Excellent verbal and written communication skills.
Working Conditions • Environment:
Full-time, office-based role in a professional, fast-paced environment. Work is performed in a standard office setting with moderate noise levels. • Physical & Mental Demands:
The role may require prolonged periods of sitting and computer use. Must be able to manage the mental demands of multitasking in a dynamic, sometimes high-pressure environment. Occasional off-site visits to meetings or events may be required.
