Executive Assistant

A rapidly growing biopharmaceutical company is seeking a proactive and highly organized Executive Assistant to support its Commercial leadership team. This full-time role will provide direct support to the Chief Commercial Officer, with a strong focus on calendar management, travel coordination, departmental organization, and cross-functional project tracking. The ideal candidate thrives in a fast-paced, dynamic environment and brings a polished, professional presence combined with exceptional attention to detail. Key Responsibilities: Provide executive-level administrative support to the Chief Commercial Officer and commercial leadership team Manage calendars, coordinate complex scheduling, and arrange both domestic and international travel Prepare agendas, materials, and logistics for internal and external meetings, including company conventions and team-building events Coordinate and track departmental projects, contracts, expenses, and compliance documentation Draft, edit, and organize executive-level presentations, reports, and strategic documents Process expense reports and reconcile credit card statements Serve as a liaison between internal departments and external stakeholders, using discretion with confidential information Maintain office supply inventory and assist with occasional reception coverage Support marketing advisory boards and state licensing fee coordination Ensure contract and purchase order documentation is accurately maintained Qualifications: 5+ years of administrative experience supporting senior leadership; biotech, pharmaceutical, or life sciences experience preferred Bachelor's degree or equivalent combination of education and experience Proven success managing complex travel, calendars, and multi-stakeholder coordination Strong communication and interpersonal skills with the ability to manage sensitive information with discretion Highly proficient in Microsoft Office Suite and other internal applications Strong organizational and problem-solving skills with the ability to anticipate needs and respond effectively Adaptability in a fast-paced, evolving environment with a client-service mindset Salary & Benefits: Hourly pay: $43.75
