Position Summary The Executive Assistant to the CEO is a deeply trusted, high-impact role that functions as an extension of the CEO herself. This person will anticipate needs before they arise, protect the CEO’s time and energy, and execute high-level operations, scheduling, communication, and strategic support with elegance and precision. You will hold the center of a fast-moving organization by translating ideas into action, creating calm in the chaos, and ensuring the CEO can remain in her zone of genius. This is a role for a seasoned EA who thrives on structure, service, and scale. Key Responsibilities Strategic Support & Anticipation Serve as a true right hand to the CEO: understanding her goals, rhythms, voice, and priorities Translate voice notes, brainstorms, and raw ideas into polished emails, documents, and communications Maintain real-time pulse on CEO’s priorities, schedule, relationships, and personal values Manage and triage all the CEO's inboxes (email, IG, FB DMs) with professionalism and alignment Handle sensitive and confidential information with the utmost discretion Scheduling, Travel & Operations Own and optimize the CEO’s calendar—ensuring time is protected, aligned, and intentionally structured Coordinate complex domestic and international travel arrangements (flights, hotels, drivers, logistics) Think ahead to anticipate needs before, during, and after travel (e.g., WiFi, meals, time zones, room setup) Implement and refine personal and professional systems to support smooth day-to-day operations Event, Gift, & Relationship Management Plan and manage logistics for company events, retreats, and client-facing experiences Curate and send thoughtful, timely gifts aligned with the brand’s tone and values Maintain a relationship management system for high-level connections and strategic partners Systems & Technology Build, manage, and improve executive workflows using tools like ClickUp, Google Workspace, and Slack Leverage AI tools (e.g., ChatGPT, Claude) to streamline communication, documentation, and research Proactively identify opportunities to increase efficiency, automation, and systemization Required Qualifications 5–10+ years of experience as a top-level Executive Assistant supporting a high-profile CEO or executive East Coast-based preferred, with flexibility for virtual and occasional in-person engagements Exceptional written and verbal communication skills—clear, polished, and thoughtful Mastery in calendar management, time protection, and executive prioritization Tech-savvy and quick to adopt new tools, especially Google Workspace, Slack, ClickUp, and AI platforms Calm under pressure, resourceful in ambiguity, and always five steps ahead Deep understanding of the trust, intimacy, and discretion required in this level of support Preferred Qualifications Experience supporting female founders or mission-driven organizations Background in wellness, coaching, personal development, or a purpose-driven space Strong design sense in presentation, branding, or event planning Prior experience managing high-level social relationships or online community DMs To Apply: Send your resume, references, and a short video (2 minutes max) introducing yourself and why you’re made for this role to hr@elliemd.com.
