Event and Program planning for Chapman Grand residents.
Responsibilities
The Events Team Office Assistant (ET OA) plays an essential role in fostering community and engagement at Chapman Grand through creative and inclusive programming. This position is responsible for the planning, promotion, and execution of weekly events that enhance the resident experience. Responsibilities include, but are not limited to: Event Planning and Logistics
Plan, coordinate, and execute weekly events and programs for Chapman Grand residents Reserve spaces, order supplies, and set up/take down event equipment and materials Ensure all event logistics are organized and executed smoothly and professionally
Budget Management
Track and manage an assigned programming budget Submit purchase requests and maintain records of expenses in compliance with university guidelines
Marketing and Outreach
Create promotional materials (flyers, posters, social media content, etc.) to advertise events Strategically market events to encourage strong resident participation and engagement
Community Building
Cultivate a welcoming and inclusive environment through intentional programming Develop events that reflect resident interests and promote community values
Collaboration and Communication
Work closely with Residence Life staff, campus partners, and other student leaders to coordinate programming efforts Participate in regular planning meetings and contribute to team brainstorming and evaluation sessions
Administrative Support
Maintain a programming calendar and event tracking log Assist with post-event evaluations and feedback collection Keep shared files and supply inventories organized and up to date
Required Qualifications
Little to minimal prior experience. Ability to learn support process. Familiarity with Microsoft Office Suite.
Desired Qualifications
Affinity for working on simple arts and crafts projects (handmade posters, signage, etc.) Basic knowledge of graphic design for making digital flyers Advertising skills Communication skills Event planning skills
