Executive Assistant
and right hand to a driven, visionary CEO, you'll be deeply involved in construction, high-end design, and innovation, surrounded by elite clients, designers, and industry leaders. You'll gain exposure to architecture, interior design, marketing, and business strategy while being instrumental in supporting a CEO of a company that's scaling rapidly. Executive Assistant (EA) /Coordinator – Your Job Duties In this role, you are integral to supporting the company's growth by keeping the CEO organized, as well as coordinating marketing activities that support direct company growth and expansion. You are the CEO's right-hand, chief organizer, chaos coordinator, marketing assistant, and keep-things-moving captain. Check the physical mailbox several times a week, scan in the mail, and route it to the next step correctly. Organize the CEO's company and personal calendar and appointments Manage the CEO's calendar, including effectively blocking time for essential tasks, confirming daily appointments, scheduling new meetings (including virtual invites), adjusting the calendar Assist with marketing rollout (content posting, rolling out podcasts, YouTube) Set up and send out eSignature documents and contracts, and follow up to receive signed documents Initiate and complete materials orders, routing invoices to accounting Coordinate and book travel arrangements, sales, and job site visits and meetings for the CEO and the executive team Coordinate monthly marketing events, prepare materials, send out reminders and event emails, coordinate logistics, and likely also attend the marketing meeting in person monthly Maintain organized filing systems (digital and paper) for contracts, project documents, and executive records Executive Assistant (EA) / Coordinator -
Required Skills, Experience & Culture Fit You are: Experienced serving as an Executive Assistant or supporting executive leadership Have exposure working in a startup or small, fast-growing environment, demonstrating comfort with the inherent "chaos” of growth, where no task is too big or too small Tech savvy – you have used many technologies and are comfortable with technologies (may include Google G-Suite, Salesforce, MailChimp, Eventbrite) Excited about supporting a CEO with both personal and professional tasks as well as company marketing A problem-solver who can anticipate and resolve issues with limited direction Executive Assistant (EA) / Coordinator –
Benefits & Pay for You Your base salary will be $80,000 - $85,000, commensurate with your experience, plus participation in the annual company bonus program. In addition, you will be provided with comprehensive insurance benefits, including 100% covered medical insurance for the base plan, dental and vision insurance, 401k, and paid time off. This opportunity requires a valid driver's license to drive occasionally for company errands and pick up mail. You must successfully pass a background investigation, driving record check, and drug test after the offer and prior to the start date.
