About the Position The

Operations Coordinator

is a central figure in creating a welcoming and organized environment that supports the schools daily operations and fosters a positive experience for students, families, and staff. This role manages front office activities by greeting parents and visitors, managing phone inquiries, and ensuring a neat and efficient office space, supporting student, staff, and family needs. The Coordinator handles essential administrative tasks, such as overseeing attendance tracking, maintaining student records, and supporting school events. They are also responsible for managing supplies, coordinating with the facilities team, and assisting with health and safety efforts. Additionally, they provide support for student recruitment, manage financial transactions, and oversee purchasing to ensure the smooth operation of the school. This versatile role requires excellent organizational skills, attention to detail, and a friendly, approachable demeanor.

Key Responsibilities

Front Office Management

Create a neat, welcoming and organized office environment Maintain parent bulletin board and a complete set of commonly used staff and staff forms for easy access Welcome parents and visitors, maintain accurate visitor logs, respond to visitor and parent requests as appropriate, serving as gatekeeper to address questions and minimize interruptions of the school admin team and teachers Answer phones; redirect inquiries as appropriate and relay messages to staff. Lead interested family tours and host family visits Manage the school-wide shared space reservation process General School Operations, Finance and Events

Receive, distribute, and prepare incoming/outgoing faxes, mail and shipments Conduct weekly supply inventory/equipment checks and restock school supply closet. Maintain office equipment; ensure that printers, copy machines and postage meter are always in working order Support student uniform order, sale, distribution and inventory process Monitor and track student lunch balances, prepare invoices, and collect payments Collect and prepare weekly cash deposits, following appropriate FASD fiscal controls. Generate required purchase orders (POs) per FASD guidelines Student Records and Data Management

Track daily student attendance (absences, tardies, and early/late pickups), process late arrivals and follow-up with the families of absent and tardy students Support efforts to ensure 100% collection and accuracy of required paperwork, including but not limited to, Enrollment, Free and Reduced Price Meal Applications, HLQs, PPFs, IC verification forms and other registration paperwork. Transportation

Process incoming student transportation change requests and communicate to staff Support arrival and dismissal procedures to ensure safe and efficient pickup and drop off Facilities Maintenance

Support the maintenance of a clean, neat and highly functional campus by communicating cleaning needs to the schools custodial personnel Health, Safety and Security

Implement FASD safety plan and coordinate emergency response efforts, as needed Coordinate provision of student health services with the school nurse and nurse para(s) Serve as a secondary student health support when nurse supports are unavailable Additional Duties, As Assigned

Qualifications and Characteristics

3-5 years of experience in school operations or a related field, with a proven record of managing multiple operational functions. Bachelors degree in business administration, operations management, or a related field preferred. Proficiency in data management systems (e.g., Infinite Campus) and familiarity with school management software; strong Excel and general computer skills. Familiar with the operations and logistics of a school environment, including student records, facilities management, safety protocols, and event coordination. Capable of managing long-term projects, from planning through execution, with an understanding of deadlines and accountability measures. Excellent verbal and written communication skills. CPR/ First Aid or ability to obtain French and English proficiency is

highly

preferred.
