Position Summary
The Program Coordinator plays a vital role in guiding and supporting Site Coordinators to ensure the success of campus programming. This position is responsible for setting clear expectations, identifying needed competencies, and overseeing the ongoing professional development of Site Coordinators. The Program Coordinator fosters effective communication across school districts, campuses, and agency leadership to align goals and drive program success. By maintaining strong relationships with school administration, the Program Coordinator helps align the organization's goals with campus needs, increasing program credibility and impact.
The Program Coordinator must possess the ability to effectively engage with diverse personalities and adapt to various learning styles, ensuring inclusive and supportive leadership. This role also ensures the Site Coordinators adherence to performance standards, operational processes, and organizational values.
Their ability to support and develop Site Coordinators enhances program quality, leading to greater student engagement and improved outcomes. Additionally, they support recruitment, hiring, and onboarding efforts while representing the agency in community engagement and fundraising initiatives, helping to expand the mission and long-term sustainability of the organization and campus programming.
Essential Duties, Responsibilities, & Competencies
The essential functions include but are not limited to the following:
Supervision
•Supervising a team of Site Coordinators placed on various campuses throughout districts.
•Provide supervision of Site Coordinators including support with service delivery/program implementation, insuring the implementation of the CIS model to the highest quality possible with effective results, ensuring all Site Coordinators design programing to meet Tier 1, 2, & 3 service delivery requirements.
•Provide 2 to 4 supervisions to each Site Coordinator per school year based on the previous year's performance.
•Actively monitor individual Site Coordinator targets/professional goals to assure the team meets or exceeds productivity target for the school year.
•Provide fair, constructive, and timely feedback regarding performance expectations and goals.
•Implementation of supervision/growth planning that addresses individualized needs
•Managing administrative duties related to the Site Coordinator role. Oversee daily administrative operations and activities of full-time and part-time staff, including work schedule, purchases, and time-off requests.
•Assist in managing funding available to each Site Coordinator and their respective campus and district and assist with purchasing when needed.
Data and Campus Programming
•Review and approve Campus Needs Assessments and School Support Plans (Campus Service Delivery Plan) to ensure campus programming effectiveness
•Conduct formal data reviews, per Site Coordinator, monthly. Review, monitor, and approve all required end-of-month reports.
•Audit, no less than 20% of Site Coordinators case-managed clients files as per ARMA requirements: including reviewing assessments and physical files for quality and integrity of data.
Onboarding
•Assist in recruitment efforts, conduct hiring, and onboard new Site Coordinators, including screening job applications, conducting interviews, and selecting qualified candidates. Program Coordinators are responsible for many of the agency's onboarding duties, including on-site continued training for the Site Coordinator position.
•Collaborate with CIS leadership to identify gaps in data entry to assure data integrity.
•Work as an active member, as part of the Program Coordinator team to staff situations, review documents, and address the needs of Site Coordinators and the agency.
Foster Relationships
•Conduct regular campus visits to provide direct support to Site Coordinators and strengthen relationships with school staff and administrators.
•Address and resolve concerns between Site Coordinators and school administration, including campus leadership, while guiding Site Coordinators in cultivating positive, collaborative relationships within their schools and local communities.
•Share relevant data and program outcomes with campus administrators to demonstrate the impact and effectiveness of CIS programming.
•Actively engage with community members and key stakeholders to build partnerships and participate in agency fundraising initiatives to support organizational growth and sustainability.
•The Program Coordinator plays a key role in maintaining strong, supportive relationships with the administrative team. This includes regular communication, collaborative problem-solving, and a shared commitment to organizational goals. By being approachable, responsive, and proactive, the Program Coordinator helps create a dynamic environment where information flows smoothly, and teamwork thrives.
Physical Demands and Work Environment
The applicant should be able to lift, load, and set up items of up to 10lbs. Applicant should be able to read and respond to written text, emails, or paper documentation. Applicant should demonstrate an ability to train staff in a small or large group setting. Some public speaking is required. Travel Requirements
Must possess a valid driver's license and have the availability of a vehicle for daily use on the job. The Program Coordinator is required to conduct regular campus visits as needed. The Program Coordinator travels in between their assigned school districts weekly. Out-of-state travel may be requested for training and conference attendance.

•Strong interpersonal and communication skills and ability to use required technology.
•Ability to work positively and effectively as a team.
•Must have no criminal or child abuse/neglect history and be able to pass an extensive background check.
