Moneta seeks an
Executive Assistant
to work with the President and Chief Operating Officer on the Enterprise Services Team. The Executive Assistant is a critical member of the Enterprise Services Team who will provide exceptional service in all interactions throughout the firm and anticipate the growing needs of the role. This Executive Assistant will exercise excellent judgment in organizing and prioritizing their own and the Executive's calendars. A candidate who is proactive, enthusiastic, and detail-oriented will make a great match for this role. Candidates will be responsible for drafting correspondence, anticipating and understanding the needs of the Executive, building basic spreadsheets in Microsoft Excel, and following through on all items needing attention. An Executive Assistant with strong initiative and a positive attitude will be able to make a large impact on our Enterprise Services Team and Moneta as a whole. Essential Responsibilities Compiles and prioritizes the Executive's daily calendar including activities, calls, meetings, all items needing attention Assures the Executive is on schedule for the day Answers the Executive's phones, taking messages Exercises good judgment in assisting with managing the Executive's voicemail and email messages Maintains and updates the Executive's calendar including scheduling meetings and other business-related appointments Books all travel arrangements including flights, hotels, rental cars Plans and coordinates a variety of events Collects and processes receipts and expenses on a monthly basis Anticipates upcoming decisions that need to be made Maintains organization and follows up on various team matters Communicates with Board Members and Partners in the firm to ensure all meetings are on the calendar Prepares all Board packets in preparation for Board meetings Attends board meetings and records meeting minutes Responsible for daily mail and package distribution, including interoffice mail Opens shred bins for employee access, schedules shredding pick-up Manages kitchen duty schedule with teams, including fridge clean-out schedule Manages daily snack basket in kitchen Coordinates parking access for appropriate employees Maintains office supply inventory Coordinates all office maintenance and repairs including cleaning requests with property management and office services to ensure the space is well maintained to Moneta standards Greets vendors and visitors when necessary Forwards correspondence from property management company to appropriate parties Maintains a high level of confidentiality in all interactions Personal Assistant Responsibilities Assists with a variety of personal errands such as pharmacy orders, lunch, coffee, groceries, etc. Maintains personal calendar to ensure there are no business conflicts Books and schedules travel Connects with the Executive for follow-up after personal and professional events Qualifications
Associate's or Bachelor's degree preferred Five years or more Administrative Assistant experience, including Executive/Personal Assistant experience preferred Proficient in Microsoft Office applications, especially Microsoft Excel Additional Information
This position is a non-exempt, full-time, permanent role and reports directly to the Chief Operating Officer (President).
