Assistant Owner Services Manager

The Assistant Owner Services Manager plays a pivotal role in delivering a seamless and highly personalized ownership experience for Residence Club owners and their guests. This leadership position oversees all aspects of the Owner Services department, including reservations, use privileges, pre-arrival planning, concierge coordination, and owner communications. As an Assistant Department Head, this position reports directly to the Assistant Director of Residences and the Director of Residences, supporting the overall residential operation while acting as a key liaison between owners, operational teams, and external partners. The Owner Services Manager ensures consistently elevated service that aligns with Four Seasons brand standards and Residence Club policies. Key responsibilities include, but are not limited to: Lead and support the Owner Services team in delivering warm, anticipatory, and personalized service to Four Seasons Residence Club owners and guests. Manage and oversee all aspects of reservations, including owner use time, rental bookings, internal exchange reservations, and Four Seasons external exchange programs. Lead the rental revenue forecasting and planning, collaborating closely with Finance, Resort Sales & Marketing, and operational leaders to maximize occupancy and revenue. Collaborate with Home Office in leading the Exchange Drawing Program, managing owner requests, allocations, and communications with fairness, accuracy, and consistency. Oversee the reservation and usage tracking of Four Seasons Accommodation Credits, ensuring accurate redemption, communication, and reporting. Ensure accuracy and consistency in owner profiles and reservation data, while maintaining compliance with all Residence Club and Four Seasons standards. Respond to owner and guest inquiries and concerns with professionalism and care, resolving issues and anticipating future needs. Collaborate with Housekeeping, Front Desk, Concierge, and Engineering to ensure smooth pre-arrival planning and flawless execution of in-house stays. Produce and distribute occupancy, inventory, and revenue reports to stakeholders, keeping key teams informed of trends and business levels. Identify process improvement opportunities and implement service enhancements to elevate the owner experience. Participate in hiring, training, coaching, and performance management of the Owner Services team, fostering a culture of growth and excellence. What you bring: A minimum of two years of experience in Vacation Ownership, Front Office, or Reservations within a luxury hospitality environment. Excellent verbal and written communication skills in English. Proficiency in Opera PMS, Microsoft Office, and strong data reporting capabilities. Strong interpersonal skills, conflict resolution, and a guest-centric mindset. Demonstrated ability to lead by example, inspire teams, and work cross-functionally. Analytical thinking and organizational skills to manage high-volume inventory planning. Demonstrated capability to step in as Residence Club Manager as needed, with flexible availability including weekends and holidays to ensure seamless operations and owner satisfaction. Prior experience with fractional ownership or interval-based inventory models preferred.
