POSITION OVERVIEW
We are seeking a proactive and detail-oriented
Operations Coordinator
to join our warehouse team and ensure the smooth execution of daily shipping, receiving, and inventory operations. This role serves as the central clerical and systems support resource for our warehouse, overseeing documentation, workflow process optimization, and ERP (Odoo) data management.
The ideal candidate will be based on-site at our Philadelphia warehouse and will collaborate closely with the Shipping & Receiving teams, Warehouse Supervisor, and leadership to streamline processes, maintain accurate documentation, and facilitate clear communication between departments. This is a critical role for ensuring operational consistency and supporting scalable warehouse and logistics functions.
KEY RESPONSIBILITIES
Warehouse & Logistics Support
Coordinate and document inbound and outbound shipments, including LTL freight, parcel, and container deliveries.
Track incoming container arrivals, update relevant internal systems, and communicate ETAs and delivery status to the broader team.
Work closely with shipping and receiving teams to ensure accurate order fulfillment, tracking, and receiving documentation.
Manage freight bookings and troubleshoot carrier issues such as delays, label errors, and accessorial charge disputes.
File damage, loss, or delay claims with transportation carriers in response to escalations from the Sales or Customer Service teams.
Communicate updates on claim status and resolution to internal stakeholders to ensure visibility and follow-through.
ERP System & Documentation Ownership
Own and maintain Odoo ERP system updates for warehouse operations, including inventory transactions, returns, transfers, and shipping records.
Maintain accurate physical and digital filing systems related to shipments, inventory, and warehouse activity.
Perform routine audits and reconciliations to ensure ERP data accuracy and inventory alignment.
Process Optimization & Reporting
Document and continuously improve warehouse SOPs, internal logistics workflows, and training materials.
Monitor inventory accuracy via cycle counts, barcode scanning, and variance tracking.
Generate regular reports on shipment performance, inventory levels, and operational KPIs to support decision-making.
Cross-Functional Collaboration
Act as a communication bridge between warehouse, customer service, operations, and sales teams to resolve order and fulfillment issues.
Support the Warehouse Supervisor with clerical and occasional hands-on operational assistance.
Assist with internal updates and cost breakdowns related to shipments for the finance and operations teams.
QUALIFICATIONS
2+ years of experience in warehouse operations, logistics coordination, or supply chain support.
Experience with ERP and Warehouse Management System (WMS), preferably Odoo) and strong familiarity with inventory management tools.
Proficiency in Microsoft Excel and the broader Office Suite.
Strong documentation, organizational, and process improvement skills.
Clear and proactive communication style with a team-first mindset.
Ability to multitask and prioritize effectively in a fast-paced, warehouse-based environment.
Experience in B2B logistics or e-commerce fulfillment is a plus.
