About the Office Administrator Role:
The
Office Administrator
is responsible for overseeing daily administrative operations and maintaining accurate financial records. This position plays a critical role in coordinating with our construction and leadership teams, ensuring our office runs smoothly and efficiently.
As the
Office Administrator , you'll lead general office administration, manage full-cycle bookkeeping, support human resources compliance, and assist in reporting key financials. You'll also be the go-to liaison for our accountant and external partners to ensure financial accuracy and business continuity.
Office Administrator Key Responsibilities:
Handle full-cycle bookkeeping: A/P, A/R, payroll, reconciliations, and financial reporting Manage Work in Progress (WIP), job costing, and Cost of Goods Sold (COGS) Maintain subcontractor compliance: COIs, lien waivers, W-9s, 1099s Collaborate with project managers to track and monitor job costs and billing Assist the President with administrative and operational tasks Prepare and file regulatory documents with federal, state, and local agencies Oversee human resources functions, benefits compliance, and internal communications Support the Accountant in: Monthly financial statements and ledger reconciliation Budgeting, forecasting, and cash flow reporting Tax filings: sales tax, payroll tax, and year-end reports Ensuring GAAP and industry compliance Office Administrator Requirements:
Proven experience as an
Office Administrator , ideally in residential or commercial construction Strong knowledge of job costing, COGS, and WIP tracking Skilled in QuickBooks, Sage, or similar construction accounting software Familiarity with AIA billing, contract compliance, and progress billing (preferred) Excellent communication, attention to detail, and organizational skills Tech-savvy with the ability to adapt to evolving systems and processes Position Details:
Full-time, in-office Monday-Friday, 9:00 AM - 5:00 PM Compensation & Benefits:
Competitive salary based on experience Salary range is $45,000-$55,000 Opportunities for growth within a fast-paced, reputable construction firm
