About the Role
We are seeking a detail-oriented and organized
Office Administrator
to support our growing facilities maintenance company in Charlotte, NC. This is a full-time, in-office position with a heavy focus on
data entry , administrative support, and managing communication through various client and internal systems. The ideal candidate is tech-savvy, dependable, and comfortable working in a fast-paced, service-driven environment.
Key Responsibilities
Perform high-volume
data entry
with speed and accuracy
Maintain and update
client project management portals
Use
Google Drive, Google Sheets , and other collaborative tools for internal documentation
Support
CRM
data management and reporting
Coordinate with technicians, vendors, and clients to ensure smooth project workflows
Monitor and respond to emails and phone inquiries in a timely, professional manner
Assist with scheduling, filing, and other general office duties
Prepare and send quotes, work orders, and invoices as needed
Maintain organized digital and physical filing systems
Provide administrative support to the operations and management teams
Qualifications
Proven experience in an administrative or office support role, preferably in the
facilities maintenance or service industry
Proficient with
Google Workspace (Gmail, Drive, Sheets, Docs)
Familiarity with
client project management portals
and
CRMs
(e.g., Jobber, Salesforce, ServiceTitan, etc.)
Excellent attention to detail and organizational skills
Strong written and verbal communication
Ability to handle multiple priorities and meet deadlines
High school diploma or equivalent required; associate degree or higher preferred
